About The Position

Provides office services by following administrative systems, procedures and policies

Requirements

  • High school diploma or equivalent
  • General office experience including copying, filing, light typing
  • Strong people skills to provide excellent internal and external customer service

Responsibilities

  • Welcomes clients and visitors by greeting clients and visitors in person or on the telephone; answering or referring inquiries.
  • Optimizes client satisfaction, provider time and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps client appointments on schedule by notifying service provider of client’s arrival; reminding service provider of delays.
  • Ensures availability of treatment information by filing and retrieving client records.
  • Maintains client accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information; recording and collecting client charges; controlling credit extended to clients; filing, collecting and expediting third-party claims.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, verifying receipt of supplies.
  • Completes operational requirements by scheduling and assigning administrative projects; expediting work results; accurately completes required paperwork procedures.
  • Maintains customer confidence and protects operations by keeping information confidential; following established confidentiality policy and procedures; maintaining professional boundaries with clients.
  • Maintains inter- and intradepartmental work flow by fostering a spirit of cooperation.
  • Other duties as assigned
