About The Position

This position will manage the front desk area, greeting visitors, answering incoming phone calls and providing assigned administrative support for various departmental functions. In addition, this position will support the Marketing Manager with conference logistics and setup requirements.

Requirements

  • High School diploma or equivalent required
  • Strong organizational skills required
  • Minimum 3 years of administrative support experience required
  • Advanced knowledge and skills in Word required.
  • Must provide positive and friendly customer service

Nice To Haves

  • PowerPoint and Excel are helpful

Responsibilities

  • Manage the front desk/lobby area
  • Greet and direct visitors, vendors and contract personnel, ensuring proper access and documentation per current security procedures
  • Receive and route incoming telephone calls
  • File, scan and maintain a variety of files
  • Assist with correspondence, meeting coordination, calendars/appointments and other administrative tasks as assigned
  • Assist in coordinating special events or lunches
  • Manage mail and courier services
  • Maintain printer/copier machine supplies
  • Manage/order office supplies
  • Assist Marketing Manager with conference logistics and setup. This includes but is not limited to the following:
  • Ordering and coordination conference giveaways and/or printed materials to send to offsite locations.
  • Send all necessary items (collateral, giveaways, banners, card holders, signs, etc.) within appropriate windows, with return labels domestically, along with shipping tape to seal boxes, and return shipping instructions.
  • Setting up conference locations including any obtaining availability and cost, handling required documentation, communications with conference vendors, ensuring the return of items, etc.
  • Routing required information to internal and external personnel, including expediting internal personnel as needed to provide any required information.
  • Must be proactive in reviewing shipping requirements, deadlines and vendors.
  • Support Marketing Manager with presentation materials and development.
  • Sort through items returned and store properly.
  • Provide administrative support to all departments as needed
