About The Position

The Front Desk Administrator serves as the first point of contact for the Richmark office and plays a key role in maintaining an organized, welcoming, and well-supported work environment. This position is responsible for front office coordination, office operations support, and general administrative duties to ensure daily operations run smoothly and efficiently. This role requires strong organization, reliability, attention to detail, and a proactive mindset.

Responsibilities

  • Answer and direct incoming phone calls professionally and promptly
  • Greet visitors and ensure a welcoming office environment
  • Receive, sort, and distribute incoming mail to appropriate departments
  • Prepare outgoing mail and packages and deliver items to the appropriate mail carrier as needed
  • Manage conference room scheduling and ensure meeting spaces are clean and prepared
  • Stock meeting spaces with necessary supplies (water, notepads, markers, etc.)
  • Order and maintain office supplies, groceries, and weekly team lunches
  • Keep common areas, shelves, and refrigerators stocked and organized
  • Water and maintain office plants
  • Coordinate office maintenance requests with building management
  • Serve as the point of contact for office vendors, deliveries, and service calls
  • Assist with scanning and filing documents
  • Support accounts payable with invoice entry during available time
  • Provide general administrative support to departments as needed
  • Maintain an orderly and professional front office environment
  • Assist with coordinating small team events and office celebrations
  • Assist with other duties as assigned.
