About The Position

The Front Desk Administrator is responsible for serving as the face of the organization whenever anyone walks through our doors. Your sunny personality will become vital to providing excellent customer service to our visitors, answering their questions, and directing them to the appropriate location. Your organizational skills will allow you to support and assist our front office and Business Operations Department. Your primary responsibilities will include ensuring that each guest feels valued and attended to promptly.

Requirements

  • Must have a positive attitude and be able to work in a pace changing environment
  • Proactive self-starter and team player with dedication to providing the highest level of service and support to internal and external customers
  • Minimum 0-3 years of experience as a Front Desk Coordinator, Receptionist, or in Customer Service
  • Exercise judgment with respect to urgency, confidential information, and potential problems
  • Must have experience handling a phone switchboard
  • Must have a professional demeanor and strong customer service skills
  • Strong ability to multi-task
  • Strong written and verbal communication skills with the ability to interact with and relate to team members of all professional levels
  • Must be proficient in Microsoft Office Suite
  • Physical demands for this position frequently include: the ability to remain in a stationary position, move about freely inside and occasionally outside of the store, and the operation of mechanical controls, such as a keyboard.

Responsibilities

  • Email Management:Handle incoming e-mails with efficiency, directing each message to the appropriate party to ensure smooth communication.
  • Meeting Coordination:Schedule meetings and manage the availability of conference rooms, facilitating seamless collaboration among team members. Manage the stocking of four conference rooms, efficiently processing orders for the corporate office and gaining the appropriate approvals for the orders.
  • Employee Relations: Facilitate new employee onboarding and interviews with job candidates, and coordinate vendor meetings.
  • Team Collaboration: Support over 300 employees in various departments as needed, demonstrating a courteous and professional demeanor while receiving and accurately documenting any issues that may arise. Collaborate with our corporate building technician.
  • Visitor Engagement:Greet and assist all visitors in a friendly and professional manner, ensuring they are well taken care of during their time in the building.
  • Administrative Support: Perform a variety of day-to-day administrative tasks that may vary based on the company's needs, providing essential support to various departments as required. Assist in multiple projects and tasks simultaneously.
  • Reception Area Management: Maintain the front reception area and other common spaces, ensuring they are clean, organized, and presentable always.
  • Document Handling: Scan and manage documents as requested, ensuring accuracy and confidentiality.
