We’re seeking a proactive and organized Front Desk Administrator Intern to support daily office operations and serve as the first point of contact for visitors, clients, and staff. This role provides hands-on experience in administrative support, customer service, and office coordination. The ideal candidate is professional, detail-oriented, and eager to learn in a fast-paced environment. This role sits within the People Operations > Talent Management team.

Requirements

  • Excellent interpersonal skills, including organizational, time management, communication (oral/written), customer service
  • Ability to adapt to Microsoft Suite and other technologies such as Data Watch
  • Basic technical competency to troubleshoot issues with badging, parking issues- ability to communicate and escalate as needed
  • Desire to grow in the area of Corporate Operations in order to support the following areas in times of surge: Contracts, IT, HR, Finance, Facilities, Security, Quality
  • Proficiency in English a must
  • Must adhere to confidentiality expectations
  • Proficient with standard corporate productivity tools, especially Microsoft Office suite
  • This position is 100% on-site Monday through Thursday 8-8:30am-5pm ET with a 30 minute – 1 hour lunch

Responsibilities

  • Answer the phone and be the face of Groundswell offices as the receptionist
  • Help coordinate office repairs, escalate /maintenance, and vendor management
  • Serve as the POC for office-related materials and services; Maintain ordering of inventory of office supplies, food, and beverages ensuring items are stocked as appropriate
  • Administer the following:
  • ID badges for employees and guests
  • Parking management to include access and validation
  • Shipping and receiving
  • Doorbell monitor – main POC for reception
  • Event coordination to include: Procuring office space, ordering food, set up and clean up (must be able to lift 50lbs or less)
  • Any other duties as assigned
