The Front Desk Administrative Support position will operate the multiline telephone system, greet and direct visitors and deliveries, manage general office tasks, and provide administrative support to all office staff. ESSENTIAL DUTIES AND RESPONSIBILITIES - Other duties may be assigned. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.Answers questions about organization and provides callers with address, directions, and other information.Retrieves messages from central voice mail and forwards to appropriate personnel.Screens, opens the door for and welcomes on-site visitors in a friendly manner.Ensures proper chairs and seating are available for all visitors.Ensure that each person is signed-in at the front desk.Determines nature of business and announces visitors to appropriate personnel. If the staff is not immediately available, leaving a voicemail and/or email for the staff.Monitors visitor access and issues passes when required. Reserves conference rooms. Maintains fax machines; assists users to send faxes, and then retrieves and routes incoming faxes.Creates and prints fax cover sheetsReceives, sorts, and routes mail and deliveries Orders supplies. Prepares outgoing mail.Provides administrative support specific to each location. This may include such tasks as assisting with the preparation of agency functions and meetings; managing check pick-ups; ensuring keys and gas cards are signed out and returned for agency vehicles; assisting with the preparation of large mailings, completing data entry tasks; and more.Performs other clerical duties as needed, such as filing, photocopying, and collating. Operates motor vehicles safely and in accordance with State Law (agency and personal automobiles) while on work related duties.
