About The Position

We are seeking a friendly, organized, and proactive Front Desk Administrator to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing exceptional customer service while handling a variety of administrative tasks. This role requires strong communication skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

Requirements

  • Minimum of 4-year degree, relevant experience and/or advanced studies in social services a plus
  • Proven experience as a front desk receptionist or similar role in a professional setting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
  • Strong communication and interpersonal skills, with the ability to interact effectively with diverse groups.
  • Excellent organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Capable of multitasking and managing time effectively in a fast-paced environment.
  • Must complete and pass the U.S. Social Security Administrations Suitability Process

Nice To Haves

  • College diploma; additional education or training in office administration is a plus.
  • Previous experience in an administrative role or customer service environment preferred.
  • Strong communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), Salesforce and experience with office equipment (e.g., printers, scanners).
  • Excellent organizational skills with attention to detail and the ability to multitask.
  • A commitment to providing exceptional client service and a desire to support individuals in their career development.
  • Security training / Security license preferred but not required

Responsibilities

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer and direct phone calls to appropriate staff members.
  • Handle inquiries and provide information about the company's services and policies.
  • Conduct 40-100 outbound calls daily to support program outreach and new client enrollment.
  • Manage scheduling and appointment bookings for staff.
  • Maintain and update office records and files.
  • Process and distribute incoming and outgoing mail.
  • Perform basic administrative tasks such as data entry, filing, and office supply management.
  • Ensure the front desk area is clean and organized.
  • Assist with onboarding new employees and coordinate office events.
  • Address and resolve any client or visitor issues in a timely and effective manner.
