Position Summary: Provide administrative support to FPG leadership. Perform duties of a highly confidential nature that require comprehensive knowledge of the organizational policies and operations. Sets up meetings and may act as proxy for supervisor. Independently plans, coordinates, schedules, gathers and processes materials to support leadership. Supports revenue cycle activities to ensure accurate patient account management, efficient billing processes and compliance with financial and regulatory requirements. This role serves as a key liaison between administrative staff, clinical teams and billing functions to promote daily operations and optimal revenue collections.

Requirements

  • Associates degree in related major preferred.
  • A minimum of two years of experience in the healthcare administration, billing or revenue cycle operations required.
  • Microsoft Office experience including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills; experience coordinating projects or events a plus.
  • Proven ability to interact effectively with people at all levels of the organization, including physicians, and representatives of outside agencies/firms.
  • Ability to work in a fast-paces environment requiring multi-tasking and prioritization of tasks.
  • Ability to type 60 wpm.
  • Proficiency in typing and word processing. Extensive keyboarding as part of daily routine work.
  • Successful completion of a one hundred eighty (180) day get-acquainted period.

Responsibilities

  • Provides secretarial support for various administrative meetings and committees as assigned. Includes preparation of agendas, recording of minutes of proceedings, distribution of minutes, and maintenance of the permanent record file.
  • Train front desk staff on registration, scheduling and financial workflows.
  • Manages no-show policies and fee processing in accordance with practice guidelines.
  • Posts provider charges accurately and timely.
  • Performs manual charge entry when required.
  • Responsible to provide patients with Good Faith Estimates in compliance and with applicable regulatory requirements.
  • Coordinate and communicate with revenue cycle, human resources and department managers regarding enrollment status and coordination of needed documents and works constructively to troubleshoot any issues. Ensures that all necessary data is accurate and complete.
  • Monitors the current status of the work for the leadership, anticipating administrators’ needs by gathering records, reports, correspondence or other specific information.
  • Coordinates handling and supports the FPG administrative phone line by triaging of calls in a professional and proficient manner. Greets customers with a courteous approach and responds with positive interpersonal skills.
  • Maintains and distributes organizational roster and practice location list appropriately.
  • Maintains and coordinates appropriate review and revision of FPG Policy and Procedures.
  • Sorts and reviews incoming mail, responds to routine correspondence, coordinates communication, and distributes mail to staff and departments as appropriate. Handles confidential matters in accordance with corporate rules and procedures.
  • Responsible for the ordering and orderliness of general office and kitchenette supplies for the administration building. Helps to coordinate facility needs with appropriate vendor as necessary.
  • Arranges appointments, meetings, and conferences by contacting the appropriate persons to attend and assembles materials as directed.
  • Trained to perform duties for coverage of medical office reception or centralized services team.
  • Organizes and orders food for meetings, sets up meeting room and tears down meeting room afterwards
