Requirements

  • Hospitality oriented.
  • Prior experience in hospitality, F&B operations, or event coordination preferred.
  • Previous sales, administrative and/or customer service experience required.
  • Knowledge in computer programs: Microsoft Word, Outlook, Excel, PowerPoint, and Opera.
  • Strong communication and interpersonal skills, tactful, customer-focused with a professional phone manner and ability to interact professionally with staff, guests, the press, high profile and other external clients.
  • Strong organizational and time management skills with proven ability to organize, prioritize and successfully manage multiple and shifting priorities, projects, and deadlines.
  • The role requires flexibility, as the Coordinator may need to be present during major hotel events, such as New Year’s Eve, holiday celebrations etc.
  • Flexibility to work various shifts, including weekends and holidays.
  • Fully Bilingual (Spanish/English).

Responsibilities

  • Ensures that administrative tasks, vendor communications, event coordination, and service standards align with the hotel’s commitment to excellence.
  • Serve as the primary point of contact for clients from the initial inquiry through to event completion.
  • Provides exceptional customer service for our high-profile clients, ensuring seamless execution of events and catering functions.
  • Manage reservations and guest inquiries for F&B events.
  • Ensure all event logistics are in place, from seating arrangements to menu selections.
  • Proactively inform and orient guests about upcoming F&B events, special dining experiences, and seasonal promotions.
  • Coordinate with other hotel departments (e.g., kitchen, housekeeping, front desk) to ensure seamless event execution.
  • Knowledge of reservations procedures (open table etc).
  • Coordinate all credit card authorization forms, via direct bill applications.
  • Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to the manager; and complete safety training and certifications.
  • Develop and maintain positive working relationships with others.
  • Ensure personal appearances are clean and professional.
  • Maintain confidentiality of proprietary information.
  • Perform other reasonable job duties as requested by the supervisor.
