About The Position

The Flight Coordinator provides centralized scheduling services for the corporate aircraft fleet, managing travel requests and serving as the primary liaison between aircraft users and the Flight Operations department. This role ensures effective communication, high levels of customer service, and the efficient scheduling of aircraft and crews while maintaining strict safety and compliance standards. It requires strong technical and aeronautical knowledge, including FAA regulations, international flight rules, and safety management systems. The position operates in a highly dynamic environment, interacting with senior leadership and multiple internal and external partners, and requires on‑call availability and a professional, confident presence.

Requirements

  • High School Diploma or GED with 3+ years of experience in an aviation-related environment such as airline, corporate, charter, or military operations.
  • Hands-on operational background in aircraft scheduling, trip planning, logistical coordination, and flight crew support, with familiarity in IS‑BAO principles and Safety Management Systems.

Nice To Haves

  • FAA Dispatch Certificate or FAA Pilot Certificate preferred.
  • Experience using flight‑scheduling software such as Professional Flight Management (PFM) or Flight Operations System (FOS).
  • Knowledge of FAR Part 91 operating rules and general understanding of aircraft performance, aviation weather, the national airspace system, and U.S. Customs procedures.
  • Strong communication skills for coordinating essential flight information with internal and external stakeholders.

Responsibilities

  • Process executive trip requests, develop detailed itineraries, and research airport suitability and available support services.
  • Schedule aircraft and flight crews, coordinate passenger needs such as catering, ground transportation, and preferred FBOs, and review TFRs and NOTAMs for potential impacts.
  • Plan logistics for international travel, including customs and immigration coordination, overflight permits, and country-specific entry requirements.
  • Monitor trip progress and proactively identify issues related to ATC delays, weather, or crew duty limitations, communicating updates to Flight Crews, Maintenance, and Executive Assistants.
  • Complete monthly aircraft usage reporting and support departmental research or administrative projects as needed.
  • Maintain current operational knowledge through required training, self‑study, and professional development aligned with industry best practices.
