Fleet Manager Position Overview The Fleet Manager is an administrative role responsible for overseeing all aspects of AHFP's fleet operations, with a primary focus on vehicle management, fleet systems, and operational efficiency across both Company Owned Vehicles (COV) and Employee Owned Vehicles (EOV). This includes managing and optimizing fleet-related platforms such as Motus, Motive, Enterprise, and other tracking or reimbursement tools. This role is accountable for monitoring and analyzing fleet data, including fuel usage and potential fraud, vehicle utilization, driver behavior, and overall cost efficiency. The Fleet Manager will also oversee accident management processes, ensure timely reporting and resolution, and identify trends or recurring issues to be communicated to executive leadership. Additionally, this position is responsible for developing and recommending improvements related to fleet operations, reporting, compliance, and performance standards, while supporting cross-functional communication and visibility at all levels of the organization. Position Requirements Excellent interpersonal and communication skills Strong written and verbal communication skills Effective leadership skills, including goal-setting, coaching, and driver training Exceptional organizational, time management, and multitasking abilities Demonstrated success in managing and optimizing fleet operations within organizations operating 200+ vehicles across multiple locations Ability to manage vendor relationships, including leasing companies, maintenance providers, and fuel programs, across a large fleet network Strong focus on fleet safety with a proven ability to reduce vehicle-related incidents and improve driver performance Expert knowledge of safe driving practices, vehicle maintenance standards, and fleet operations Understanding of vehicle mechanics, with the ability to identify maintenance and repair needs and evaluate repair options to effectively balance cost, quality, and turnaround time Experience with fleet management platforms (e.g., Motus, Motive, Enterprise, or similar systems) Competent in managing fleet budgets, expenses, and financial expectations Strong data analysis skills with proficiency in Excel or Google Sheets Ability to track and analyze fleet metrics, including fuel usage, maintenance costs, and efficiency Knowledge of IRS mileage reimbursement guidelines and transportation-related compliance requirements Fleet Operations & Safety Responsibilities Oversee vehicle acquisition and lifecycle management in partnership with fleet vendors or management companies Manage and optimize fleet platforms (e.g., Motus, Motive, Enterprise) for tracking, reporting, and operational efficiency Schedule and ensure completion of preventative maintenance, and coordinate all vehicle repairs Establish, implement, and maintain fleet-specific SOPs related to vehicle use, maintenance, and driver expectations Monitor driver behavior through telematics and reporting tools to promote safe driving practices and reduce at-fault accidents Manage all vehicle-related incidents, including accident reporting, investigation, and resolution Track and analyze fleet data, including fuel usage, vehicle utilization, maintenance costs, and potential fraud indicators Ensure all vehicles are properly registered, licensed, and compliant with applicable regulations Verify all drivers maintain appropriate licensure and meet fleet operating requirements Provide regular reporting to leadership on fleet performance, safety trends, costs, and risk exposure Identify trends and implement strategies to improve fleet safety, reduce costs, and increase efficiency Partner with insurance providers on claims management, renewals, and risk mitigation related to fleet operations Travel Regular travel will be required for the Fleet & Safety Manager position and will be scheduled in advance with the VP of Operations. Responsibilities will include but are not limited to the following: Being onsite for new vehicles arriving in markets to assist the market manager with the roll out. Conducting unannounced audits for markets on a regular basis to check on both manager and employee vehicles to insure they are being kept to cleaning, maintenance and safety standards. Presenting driver/fleet safety protocols to AHFP company employees. Education and/or experience: High School Diploma or equivalent (required), bachelors/associates degree preferred
