About The Position

The Fleet & Equipment Coordinator manages the daily administration, maintenance, scheduling, and oversight of company fleet vehicles, equipment, and small tools. This role ensures compliance with regulatory requirements, supports field operations, and maintains accurate records to maximize operational efficiency and minimize downtime.

Requirements

  • Experience in fleet administration, equipment coordination, or a related field .
  • Background in purchasing, vendor coordination, or inventory management is preferred .
  • Familiarity with fleet tracking software, GPS systems, and fuel monitoring reports
  • Ability to stand, walk, and sit for extended periods of time .
  • Ability to lift up to 20 lbs .

Responsibilities

  • Maintain equipment and fleet master records and documentation .
  • Coordinate on-time equipment repairs, maintenance schedules, and inspections .
  • Oversee daily schedules for mechanics, drivers, and yard personnel .
  • Monitor fleet GPS systems and review vehicle activity reports for irregular usage .
  • Review daily yard and vehicle camera alerts for safety violations or irregular activity .
  • Order parts for vehicles and equipment while comparing vendor pricing for cost-effectiveness .
  • Create purchase orders and track monthly budget usage for repairs and small tools .
  • Maintain fuel reporting and monitor driver records and DMV pull reports .
  • Assist with accident reporting and insurance claim coordination .
  • Support yard operations, equipment staging, and equipment assignments .
  • Approve assigned Exaktime timecards .
  • Prepare operational reports, including fuel usage, repairs, and Vital Factors reporting
  • Maintain an inventory of maintenance supplies and order replacements as necessary
  • Maintain positive working relationships with vendors
  • Provide administrative support to management and the purchasing department as needed Ensure all equipment remains in appropriate operational condition
