About The Position

This role supports our branches by overseeing the maintenance, authorization, and control of all fleet assets. You will manage relationships with dealerships and suppliers, handle traffic citations and accident reports, and enforce policies related to fleet units. Key responsibilities include managing fuel cards and generating reports, verifying fleet invoice accuracy, and collaborating with the accounting team to process payments. You will also prepare purchase orders for approval and payment. This position plays a crucial part in ensuring our business is equipped with the right tools and equipment to maximize performance, safety, and operational efficiency.

Requirements

  • Self-motivated individual, able to work individually, as well as part of a team
  • Experience in fleet management, procurement, or workshop operations.
  • Attention to detail and high level of accuracy
  • Problem-solving skills; ability to assess situation; evaluate options and select and act upon best solution
  • Good working knowledge of MS Office including Excel pivot tables and vlookup and PowerBi.
  • Valid driver’s license and clean driver’s abstract are required
  • Good interpersonal skills; strong written and verbal communication skills

Nice To Haves

  • Some post-secondary education in business administration is an asset but not required

Responsibilities

  • Developing relationships with key vendors in both Australia and New Zealand.
  • Maintain accurate listing of current vehicles with driver details, registration and kilometers recorded.
  • Liaise with branches on repairs and maintenance to existing vehicles.
  • Recommend disposal of vehicles when they become uneconomical including developing a standard lifecycle for fleet.
  • Evaluate and recommend ute and trailer setups based on operational needs, payload requirements, and terrain.
  • Identify suitable forklift models for workshop and yard use, considering lifting capacity, maneuverability, and fuel type.
  • Process registrations, road user charges, fuel cards, tolls and fines.
  • Ensure quality control of vehicles delivered and follow up with suppliers when issues are identified.
  • Provide monthly reporting on fleet running costs.
  • Execute other duties as assigned by management.
