About The Position

With so many moving parts: a mobile staff; a fleet of vehicles; responsibilities in all five boroughs simultaneously and more, Field Services requires organization and coordination to function effectively. The Fleet Coordinator is tasked with ensuring all the pieces of the puzzle are where they should be. They ensure the vehicles are always running whether that means arranging for repair or renewing registration. They make sure the team has what they need – like gas cards, EZ pass, or parking permits – to get around. They oversee inventory and ordering, coordinate training, act as liaison with city agencies, and generally support the smooth operations of the Field Services Department.

Requirements

  • High School Diploma or GED required.
  • Basic familiarity with computers, MS Word and MS Outlook required.
  • Must be forward thinking and anticipate challenges, responding to them quickly and completely.
  • Must be adaptable and receptive to rapidly evolving protocols and able to rally others with an air of excitement and opportunity.
  • Must be able to lift a minimum of 50lbs.

Nice To Haves

  • Minimum 6 months experience working in a fleet management environment preferred.
  • Ability to excel in a fast-paced, often high stress environment.

  • Available to modify schedule as needed to meet the needs of the organization.
  • Ability to travel throughout the five boroughs regularly and nationally for training opportunities.

Responsibilities

  • Responsible for ensuring ACC fleet receives regular and routine maintenance with a focus on extending longevity of use and minimizing associated costs.
  • Ensures vehicles are outfitted with the required equipment in good working order; arranges for replacement/repair as needed.
  • Monitors vehicle status, location and driver safety using enhanced technology.
  • Tracks driver compliance to policies, motor vehicle infractions and vehicle safety logs.
  • Works with Field Services Supervisors as needed to transport vehicles to and from repair.
  • Helps provide insight to leadership on fleet needs for requests for funding to DOHMH.
  • Train new staff on ACC driving policy, vehicle checklists, etc.
  • Drives vehicles throughout all five boroughs as necessary.
  • Keeps ACC fleet, including program vehicles and other company cars, current on all paperwork including registration, parking permits, etc.
  • Requesting and assigning gas cards and EZ Pass for new hires; reviewing use of both and coordinating with Field Services supervisors as needed.
  • Reconcile gas and EZ pass expenditures against driver routes and average usage.
  • Coordinate with HR and General Counsel to manage driving and vehicle coverage, including investigating issues.
  • Monitors inventory and orders Field Services supplies as needed.
  • Responds to requests for vehicle use from non – Field Services staff, ensuring vehicles are available & providing direction on pick up, drop off, maintaining appropriate gas level, etc.
  • Fear Free Certification within 30 days of hire.
  • Complete other duties as assigned by supervisor.
