About The Position

Reporting to the Director of Parking and Transportation Services and operating under lead work direction from the Budget Analyst, the Fiscal Support Coordinator provides independent, full-scope administrative and fiscal coordination in support of departmental operations. The position is responsible for fiscal administration, financial reconciliation, administrative project coordination, and office operations that ensure compliance with CSU, campus, and State policies and procedures.

Requirements

  • High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent .
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.

Responsibilities

  • Fiscal Administration and Budget Support Maintains, gathers, analyzes, reconciles, and monitors complex fiscal and operational data to support departmental financial integrity, compliance, and decision-making.
  • Independently coordinates and prepares a full range of fiscal transactions, including requisitions, submits invoices for payments, hospitality expenses, employee travel and meal reimbursements, payroll-related deductions, refunds, and county citation surcharge payments, ensuring accuracy and compliance prior to approval by the Budget Analyst and Director.
  • Performs detailed reconciliations of multiple revenue and expense streams, including ACH rejections, third-party billing and chargebacks, citation aging, and dispenser revenue. Identifies discrepancies, researches root causes, and prepares corrective actions or recommendations for review by the Budget Analyst and Director.
  • Compiles, analyzes, and prepares complex fiscal and operational reports, including citation aging reports, open purchase order reports, revenue tracking, and audit support documentation.
  • Independently interprets and applies CSU, campus, and State fiscal policies and procedures; identifies compliance risks and recommends process improvements.
  • Supports Student Financial Services parking and citation payment processing, including identifying, investigating, correcting, and documenting discrepancies within the T2 Flex system.
  • Administrative Coordination, Escalated Customer Service, and Office Operations Coordinates day-to-day administrative operations of the department, ensuring continuity of services, adherence to established procedures, and effective workflow management.
  • Serves as an administrative resource for complex, escalated, or non-routine customer service matters, requiring policy interpretation, problem-solving, and the application of tact, diplomacy, and de-escalation strategies.
  • Supports departmental planning initiatives by tracking projects, deadlines, and deliverables; monitors progress and reports issues or risks to leadership.
  • Utilizes the T2 permit management system to research, resolve, and correct complex permit, citation, appeals, and account discrepancies.
  • Develops, maintains, and updates administrative records, documentation, and procedures to improve operational efficiency, consistency, and compliance.
  • Coordinates communication and information flow between the Director, Budget Analyst, enforcement staff, information services staff, and external stakeholders as needed.
  • Office Coordination, Lead Work Direction, and Program Support Provides ongoing lead work direction and functional guidance to student assistants and support staff, including assigning work, training procedures and systems, monitoring accuracy and completeness of work, and ensuring compliance with established policies.
  • Assists with onboarding and offboarding of staff, including coordinating access, equipment, documentation, and procedural training.
  • Serves as back-up departmental timekeeper to ensure continuity of payroll and timekeeping operations.
  • Coordinates office supply procurement, equipment tracking, and ProCard purchasing under established fiscal controls and approval processes.
  • Supports department-wide compliance activities, including defensive driving certification administration and driver documentation tracking.
  • Performs other administrative coordination duties consistent with the Administrative Support Coordinator II classification.
