About The Position

The Firm Marketing and Administrative Support professional provides comprehensive marketing, finance, and administrative support to ensure efficient firm-wide operations. This position supports multiple departments by managing communications, assisting with financial and administrative processes, and supporting learning and development initiatives. This role requires professionalism, discretion, and strict confidentiality regarding firm and client matters.

Requirements

  • One or more years of administrative experience required
  • Proven ability to complete work with accuracy and efficiency
  • Ability to work on multiple tasks under tight deadlines
  • Strong organizational skills with high attention to detail
  • Knowledge of basic office procedures and standard office equipment
  • High level of enthusiasm to work collaboratively in a team environment to meet and exceed expectations for internal and external clients
  • Works independently and is self-motivated to complete tasks and assignments with a minimum amount of supervision, and is flexible to accept tasks and projects
  • Upholds the professional standards of conduct for respectful behavior and demonstrates a high degree of personal integrity
  • Ability to handle confidential information with discretion
  • Excellent written and verbal communication skills
  • Ability to interact professionally with vendors, colleagues, and management
  • High School Diploma required

Nice To Haves

  • Prior marketing or professional services experience preferred
  • College coursework in business, marketing, or related field preferred

Responsibilities

  • Update and maintain the firm intranet, phone lists, and internal communications
  • Maintain the firm storyboard and Thryv account; coordinate updates with vendor representatives
  • Post TopLine articles to the firm blog and social media platforms
  • Obtain, organize, and post photos of firm events and activities
  • Manage the firm's general information email inbox
  • Maintain website content and create or update marketing flyers and materials
  • Order, track, and maintain inventory of firm-branded swag
  • Manage monthly firm credit card statements and payments
  • Prepare, format, and distribute monthly credit card spreadsheets to cardholders
  • Manage email responses, perform general ledger coding, and track receipts
  • Process Practice CS client charges
  • Prepare spreadsheets for accounts payable and enter data into Sage Intacct
  • Monitor attendance for CPE courses and assist with polling questions
  • Maintain CPE certificates and related compliance records
  • Manage PTIN renewals and related recordkeeping
  • Process large client acceptance forms
  • Provide administrative support as needed across departments
  • Accepts special projects as assigned
