About The Position

The Financial Assistant – Representative Payee position at Lakeview Health Services is primarily responsible for providing support to individuals with disabilities regarding financial matters. This includes coordinating the organization’s representative payee program, which establishes and maintains entitlements for eligible Social Security recipients to manage monthly bills and personal spending. The role also involves performing various record-keeping duties related to the organization’s accounts receivable. Requirements

  • Associate’s degree in accounting and 2 years of related experience or any combination of education and/or experience providing the necessary skill and knowledge for successful performance
  • Valid NYS Drivers License
  • Demonstrate proficiency in the principles, procedures, and practices of general accounting and accounts receivable
  • Experience with computerized accounting systems
  • Knowledge of funding sources within the service arena
  • Proficient in Word and Excel
  • Use of contemporary office equipment including, but not limited to, a multi-line phone system, computer, fax machine, copier, e-mail, and voice-mail
  • Consistently accurate in arithmetic, reconciling accounts, and generating reports
  • Plan, organize, and complete work as assigned
  • Work effectively and professionally with co-workers and Supervisor
  • Communicate clearly and effectively with diverse individuals
  • Recognize and maintain appropriate confidentiality of clients and work materials
  • Strong attention to detail, high degree of accuracy, and excellent organizational skills
  • Able to work with frequent interruptions, in the absence of supervision, and always maintain a professional and welcoming demeanor

Responsibilities

  • Acts as agency liaison with Social Security
  • Attend meetings as required, including admission, discharge and departmental meetings
  • Responsible for tracking and recording receipt of Social Security benefits
  • Prepare timely and accurate consumer personal needs disbursements on a weekly basis
  • Interface with community resources including Department of Social Services, Social Security Administration, etc. to ensure consumers maintain funding and ensure its continuity and stability
  • Inform Social Security about changes that may affect an individual’s eligibility for benefits and complete documentation as required to maintain benefits
  • Report payee’s employment income to Social Security Administration
  • Ensure that consumer assets do not exceed the Social Security resource limit
  • Maintain financial and Social Security files on each representative payee consumer
  • Reconcile consumer ledgers
  • Meet with consumers as needed to conduct financial matters and complete Social Security requests for information, may require on site program visits
  • Assist in setting up trust and/or irrevocable burial accounts
  • Process returns to Social Security, SSP or counties as needed
  • Ensure compliance with representative payee laws and guidelines by preparing reports required by Social Security
  • Provide assistance and expertise to residential staff involved with financial applications, recertifications and entitlement concerns for our consumers
  • Oversight of consumer resources and assets in strict compliance with Social Security regulations
  • Update and refresh job knowledge by participating in educational opportunities
  • Perform prompt and accurate processing of all deposits
  • Post payments by recording cash and checks
  • Balance and compile cash receipts and accounts receivable journals
  • Maintain complete and accurate records of all accounts receivable transactions, reports, and related statistics
  • Assist in resolving collections by examining consumer resources, payment plans and payment history
  • Coordinate internal and external personnel to ensure that proper systems are in place to expedite the collection of amounts due
  • Prepare documentation required for internal and third-party audits as assigned
  • Function in accordance with established standards, procedures and applicable regulations
  • Assist other finance department staff as needed
  • Ensure the safe and secure retention of historical accounting data
