Under general supervision, the Financial Spec I, Clinical Trials provides administrative and transactional support for clinical research financial operations within OCR. The Financial Spec I, Clinical Trials assists with budget preparation and negoiation, payment tracking, data entry,calendar building and documentation related to clinical trial billing and reconciliation. This role is ideal for individuals developing foundational skills in research finance and looking to grow within the clinical research environment. Reports to and is given direction by the Office of Clinical Research (OCR) Director and the Financial Services Manager, and is accountable to Investigators.

Requirements

  • Bachelor’s degree in business, accounting, life sciences or a related field; or equivalent combination of education and experience preferred.
  • 0–2 years of related experience in financial administration, healthcare, or research operation; or an equivalent combination of education and experience
  • Attention to detail, organization, and time management; strong written and verbal communication
  • Willingness to learn CTMS and financial systems.
  • Proficiency in Microsoft Outlook, Excel, Word, PowerPoint, eRecord, and database experience.
  • Proven ability to interact with all levels of faculty and staff in a professional manner.
  • Excellent interpersonal, presentation, analytical, and communication skills focused on customer service.
  • Shows initiative and resourcefulness in managing priorities and takes responsibility for accomplishing his/her own work.
  • Works collaboratively and maintains confidentiality of information at all times.

Nice To Haves

  • Proven writing skills highly desirable.
  • CLASP Certification within a year of being hired if not already certified

Responsibilities

  • Budget Development and Negoations– Assists with data collection and preparation for study budgets, coverage analyses, and financial documentation. Develops cost and time analysis for studies using established processes and in conjunction with investigators, department heads, and other stakeholders, and acquires all necessary approvals.
  • Data Entry and Calendar Building – Maintains financial information in CTMS and tracking tools. Builds study calendars, ensuring alignment with protocol requirements.
  • Invoice Preparation and Payment Monitoring – Prepares draft invoices, monitors receivables, and assists analysts with reconciliation activities. and assuring proper application of this data into the CTMS and (b) reconciling the study financial information in the CTMS to the study’s WorkDay account
  • Administrative Support and Communication – Provides routine communication and documentation support to investigators, study teams, and OCR financial staff.
  • Responsibility Learning and Process Support – Participates in training, shadowing, and process improvement initiatives to gain knowledge of financial workflows and systems.
  • Other Duties as Assigned – Performs related work supporting OCR operations and professional development.
