Job Summary The Administrative & Financial Assistant provides essential support across office management and financial operations. You'll handle everything from procurement and vendor communication to bookkeeping and general administrative tasks. We’re looking for someone detail-oriented, proactive, and comfortable juggling multiple priorities in a dynamic nonprofit environment.

Requirements

  • Prior experience in administrative and financial roles required.
  • Associate’s degree in Accounting, Finance, Business, OR equivalent experience.
  • Proficiency in Microsoft Office (especially Teams, Word, Excel), QuickBooks, and Procurify (or similar systems).
  • Able to prioritize tasks, meet deadlines, and keep accurate records.
  • Clear written and verbal communication skills.
  • Must be discreet, reliable, and able to work independently.

Responsibilities

  • Prepare and make accurate bank deposits
  • Process accounts payable and track expenses
  • Review of monthly financial statements for discrepancies
  • Manage purchases and expenses through our procurement software
  • Work with vendors to obtain quotes and track deliveries
  • Maintain organized records and databases
  • Assist with general office operations and supply management
  • Answer phones and route calls
  • Open, sort, and distribute mail
