About The Position

The Cleveland Orchestra is seeking a Finance Associate – A/P to process all accounts payable for the organization. The Associate also prepares journal entries and reconciles general ledger accounts. The position requires an exceptional degree of accuracy, good analytical skills, and the ability to resolve discrepancies encountered in daily responsibilities. Position responsibilities include the following:

Requirements

  • Associates degree or commensurate experience required
  • 3+ years of accounts payable experience
  • Demonstrated proficiency in Microsoft Office, particularly Excel, and financial database systems (Great Plains Dynamics experience preferred)
  • Excellent interpersonal and communication skills
  • Strong organizational skills with exceptional attention to detail

Responsibilities

  • Review, verify and/or code all invoices and check requests.
  • Verify proper approvals and correct backup. Obtain A/R documentation when appropriate.
  • Audit all expense reports and verify charges are proper and the statements are approved. Note discrepancies and resolve.
  • Review all individual credit card statements and verify all charges are proper and the statements are approved. Note discrepancies and resolve these.
  • Audit the AP corporate credit card statement. Verify all charges are correct. Note discrepancies and resolve these.
  • Demonstrate proficiency with all processes within the Accounts Payable module and become familiar with upgrades as they are available in Great Plains. During periods of software updates and/or transitions, assist and help with the structure and design. Ensure proper controls are in place while at the same time promoting efficiencies that are inherent within the improved product.
  • Using knowledge of the corporate structure, develop approval hierarchies to facilitate the processing of invoices for payment.
  • Process weekly check run along with required reports, including: Proofread input of vouchers and make corrections Attach backup to file copy of check Separate checks by dollar amount Note any special handling requests
  • Initiate and document payments to vendors with the AP Credit Card
  • Reconcile and initiate payment for monthly Credit Card billings
  • Handle emergency check runs as needed.
  • Maintain A/P files.
  • Post A/P weekly and close monthly. Run reports and verify in balance with the general ledger. Note discrepancies and resolve these.
  • Distribute and maintain calendar of check signer availability. Send out W-9s and Sales Tax Exemption forms as needed. Scan W-9 to vendor profile. Set up and maintain vendors in master list.
  • Answer inquiries from vendors and staff. Provide information and resolve any problems.
  • Review accounts and make journal entry adjustments to correct any errors. Run account analysis and reconcile various accounts within general ledger. Prepare standard journal entries to record activity.
  • Review artist contracts needed for payment each week. Work with Artistic department to meet artist payment needs (e.g. wire requests, advances, tax withholdings, etc.). If possible, help to streamline the contract process. Track payments made on behalf of artist. Make and track tax payments and the processing of year-end 1099 forms.
  • Be directly involved in upgrades to AP system, working to facilitate the rollout of improvements throughout the organization.
  • Periodically provide administrative support to Finance Managers.
