About The Position

The Admin & Finance Specialist plays a critical role in ensuring smooth financial operations and administrative support across the organization. This role oversees client billing and renewals, accounts payable/receivable, vendor management, and financial reporting, while also managing office administration and internal coordination. By combining strong analytical, organizational, and problem-solving skills, the Specialist ensures accuracy, compliance, and efficiency in both finance and administrative processes.

Requirements

  • 1-2 year experience in business administration or accounting/finance
  • Familiarity with enterprise business systems
  • Strong Microsoft Office skills (especially Excel)
  • Effective analytical skills to sort, check and verify accounting figures
  • Strong organizational, time management, analytical, and communication skills
  • Extreme attention to detail
  • Expert problem solver
  • Good communication skills

Responsibilities

  • Client Billing & Account Management Maintain client license database and records in FieldPoint, GP, and MatterLink Manage client invoicing (contracts, add-ons, new sales, PS services) Oversee contract renewals, price increases, and notifications Ensure compliance with tax status and billing laws
  • AP/AR & Vendor Management Enter and manage AP/AR, vendor contracts, renewals, and employee expenses. Reconcile accounts (PS, 3rd party, sales, attrition). Manage concessions, credit memos, and write-offs. Oversee vendor renewals, facilities contracts, and SOC2 compliance documentation
  • Financial Reporting and Revenue Analysis Prepare and maintain weekly, monthly, and quarterly reports Support strategic pricing and revenue analysis discussions by ensuring leadership has accurate data for decision-making Support forecasting reviews by compiling and analyzing data to inform financial planning
  • Office Administration & Internal Support Manage incoming calls, emails, and mail Oversee office and IT supplies, copier contracts, and postage accounts Support company events, outings, and internal communications Manage web access portal & software downloads
