About The Position

At PNNL, our core capabilities are divided among major departments that we refer to as Directorates within the Lab, focused on a specific area of scientific research or other function, with its own leadership team and dedicated budget. Our directorates related to Mission Support & Operations include Office of General Counsel, Business Services, Communications and External Engagement, Operational Systems, Communications and Information Technology, and Performance Management. The Business Services Directorate (BSD) provides crucial financial, procurement and sales, and project management services to PNNL, as required under our management and operations contract for operating the Lab on behalf of the Department of Energy. Requirements

  • High school diploma/GED and 6 years of relevant experience -OR- AA or higher and 4 years of relevant experience
  • Demonstrates ability to effectively communicate (written and verbal), use sound judgement, self-manage priorities and workload, analyze issues, think strategically, act with integrity, value diversity and foster teamwork are required.

Nice To Haves

  • Experience interacting with federal oversight and business service support.
  • Experience with PNNL business systems and processes, specifically the Work Authorization & Lifecycle System (WALS) and Oracle.
  • Knowledge of software including Microsoft Word, Microsoft Excel, Microsoft Access, and Power BI.

Responsibilities

  • Perform data analysis and run queries from relevant business systems to support financial accuracy and funding decisions.
  • Support clerical and administrative financial/accounting activities, ensuring proper maintenance, control, and development of financial records, reports, and systems.
  • Process invoice payments, expedite deliveries, and resolve payment or delivery issues to maintain workflow efficiency.
  • Initiate and monitor closeout activities for funding actions and agreements.
  • Ensure compliance with applicable federal laws, regulations, policies, and good business practices by supporting Finance & Accounting professionals.
  • Maintain adherence to business policies and procedures, assisting with communication, training, and interpretation for supported organizations.
  • Provide administrative support to the Funding and Agreements Team, including file development and data entry into required systems.
  • Develop status reports for clients and stakeholders.
  • Coordinate with BSD groups (Accounts Receivable, Business Offices, Sales Teams, Financial Coordinators) and internal research partners such as Project Managers and Principal Investigators.
  • Interface professionally with PNNL, DOE, and external sponsors to support funding and agreements processes.
  • Complete assignments incorporating judgment, initiative, and understanding of work implications; support both routine and non‑routine contracting activities.
  • Work collaboratively with internal customers including Project Managers, Financial Coordinators, Business Office Representatives, Legal, PMO Directors, Sponsors, Accounts Receivable, Sales Teams, and subject matter experts.
  • Demonstrate a high level of customer service in all interactions.
  • Perform work under the general supervision of the Team Lead and/or Contract Professionals.
