About The Position

Seasonal position subject to available funding March 1, 2026 – December 31, 2026. The Family Engagement Project Specialist supports the grant and administrative activities of the Family Service area and Family Engagement Coordinator. Initiates and coordinates administrative functions while implementing policies and procedures according to Head Start Program Performance Standards (HSPPS) across sites and programs. The Family Engagement Project Specialist collaborates within the Family Engagement team to support early childhood best practice in sustaining developmentally sensitive, relationship-focused, hope centered and trauma informed service delivery. Requirements

  • Associates Degree in Office Administration or Business OR Associates Degree in Family Studies, Social Work, or related field
  • Experience working in social services or related field
  • Excellent command of English language and grammar, both verbal and written.
  • Intermediate knowledge of Microsoft applications and the ability to master other computer technology/software programs, as needed.
  • Able to exercise good judgment and handle stress appropriately
  • Willingness to work with high-risk, low-income communities
  • Process, protect and exercise discretion in handling confidential information and materials
  • Able to work as a cooperative and supportive interdisciplinary team member
  • Able to effectively and respectfully communication and support diverse families, professionals and community groups
  • Good organizational and time management skills
  • Must work independently and collaboratively in a team environment
  • Valid Oklahoma driver’s license and state required vehicle insurance for any vehicle used in performance of job duties
  • Able to travel locally as required by the job

Nice To Haves

  • Bachelor’s Degree in Office Administration or Business OR Associates Degree in Family Studies, Social Work, or related field
  • Two (2) years of experience in related field
  • Knowledge and understanding of Child Plus
  • Knowledge and understanding of Head Start Performance Standards and state and local childcare licensing requirements
  • Advanced computer database and Microsoft software application knowledge
  • Bilingual Spanish/English speaking ability to interact with children and families from multilingual homes

Responsibilities

  • Promote, encourage, and display examples of leadership for the agency in accordance with the agency’s mission and vision.
  • Exemplify the values expected within the program and promote the mission of the organization.
  • Support the Family Engagement Coordinator in tracking deliverables, timelines, data and reporting requirements for Family Engagement activities and grants.
  • Monitor progress toward grant goals and identify potential risks, delays, or areas needing corrective action.
  • Monitor, audit, and ensure the integrity of family services data in systems such as ChildPlus.
  • Proficiently perform administrative duties as required but not limited to preparing correspondence, reports, spreadsheets, managing calendars, and follow-up with external stakeholders.
  • Develop, implement, and administer management system for storing, tracking, and coordinating agency information and functions.
  • Effectively utilize the program data management software systems and any other information capturing systems as necessary.
  • Maintain organized, updated documentation for all funded projects in compliance with Head Start Program Performance Standards (HSPPS)
  • Independently perform special projects that require a combined knowledge of administrative needs and technical operations.
  • Effectively prioritize projects to accomplish tasks in timeframe specified and at a high level of quality.
  • Create a welcoming environment, maintain professional boundaries, and protect highly sensitive and confidential information at all times.
  • Respect the confidential nature of Personally Identifying information (PII) that may need to be shared.
  • Ensure that all reports and records are maintained accurately and promptly complying with all applicable confidentiality laws and regulations, including but not limited to HIPAA and FERPA.
  • Represent Sunbeam in community collaborations and events as directed by supervisor.
  • Promote culturally sensitive practice.
  • Maintain regular attendance as scheduled.
  • Travel locally as required in the performance of responsibilities.
  • Perform other appropriate and related responsibilities as assigned by supervisor, Senior Program Director, Chief Program Officer or Chief Executive Officer
