About The Position

The Faculty and Staff Affairs Coordinator oversees and facilitates the recruitment, hiring, and on-boarding processes for all staff, affiliated, and volunteer faculty appointments within the UT Health Science Center College of Medicine-Chattanooga (COM-C). This position ensures compliance with institutional policies and procedures while promoting efficiency and accuracy in faculty and staff hiring operations. This position acts as a liaison between regional departments, candidates, and UT Health Science Center administrative offices to streamline the appointment process.

Requirements

  • Bachelor's Degree. (TRANSCRIPT REQUIRED)
  • Two (2) years of relevant experience; OR a combination of education and experience to equal six (6) years.
  • Ability to provide professional judgment.
  • Ability to maintain confidentiality and work independently.
  • Ability to prioritize and handle multiple tasks efficiently and effectively.
  • Effective written and communication skills, listening skills.
  • Ability to manage multiple tasks while working with constant interruptions.
  • Proficiency with computer applications, including Oracle, Word, Excel, and PowerPoint.
  • Excellent interpersonal skills with the ability to work effectively with a management team.
  • Strong leadership aptitude for strategic and independent judgment.

Responsibilities

  • Facilitates the appointment process for full-time, part-time, affiliated, and volunteer faculty appointments by ensuring all necessary documentation is completed accurately and submitted on time.
  • Advises COM-C leadership on UT Health Science Center and COM HR process issues or changes; Communicates department level process changes to staff.
  • Develops and maintains a database for paid, affiliate, volunteer faculty, as well as staff.
  • Oversees preparation, distribution, and return of annual reappointment letters for paid and volunteer faculty.
  • Develops onboarding materials tailored type of appointment (full-time, part-time, affiliated, volunteer).
  • Serves as the point of contact regarding compliance with immigration requirements and assists with processing faculty/staff visas.
  • Oversees the staff hiring process; assists in scheduling interviews, participates in interviews, sends appropriate documentation to HR for recommendations, and assists in onboarding for the campus.
  • Ensures biweekly and monthly payroll actions are keyed on time and accurate; maintains physical files of approved timesheets signed by direct supervisors.
  • Completes special projects as requested from UT Health Science Center Payroll, UT Health Science Center Human Resources, UT Health Science Center Administration and the College of Medicine.
  • Ensures adherence to UT policies and procedures related to human resources and faculty guidelines.
  • Performs other related duties as required.
