This position manages internal standard operating procedures for Property Management which includes supporting the Move, Add, Changes (MAC) process and operations planning.  Other responsibilities include, but are not limited to:

Requirements

  • Microsoft Outlook, Word, Excel, PowerPoint
  • Results oriented, strong work ethic, appropriate sense of urgency
  • Self-starter, eye for detail, flexibility in responding to changing priorities
  • Able to work collaboratively with internal and external stakeholders and multiple project team members
  • Able to identify problems and use sound judgement to proactively evaluate alternatives to difficult situations
  • Knowledge of HVAC, Fire life safety systems and high-rise operations
  • Excellent organizational skills and the ability to multi-task
  • Bachelor’s degree from an accredited University or High School Diploma and at least 5 years equivalent experience in facilities, building operations, or related field.

  • Experience overseeing contractors
  • Knowledgeable in work permitting/ JSA/ Lock, Tag, Try/ Confined Space
  • Ability to work a schedule from 7am to 4pm. Occasional overtime, evening, and weekend work

Nice To Haves

  • Universal Refrigeration License
  • Familiarity with sustainability practices and energy efficient programs
  • Understanding of safety standards, compliance requirements and emergency response protocols
  • SAP experience

Responsibilities

  • Develop and manage the Property Management and Business Services department’s capital and operating budget.  This includes annual budget preparation, monthly variance reporting, accruals and reclass elements, goods receipts, requisitions and PO creation.
  • Coordinate and monitor day-to-day facility operations, including maintenance, repairs, service requests, and vendor and contractor scheduling.
  • Track and manage work orders, preventive maintenance schedules, and building inspections to ensure timely completion. 
  • Maintain accurate records and reports related to operations, including utility usage, safety inspections, and compliance documentation.
  • Manage Floor plan updates, space planning and building automation system adjustments.
  • Identify opportunities for process improvements and efficiency enhancements in daily operations.
  • Ensure job safety analysis and/or work permits are accurately written and adhered to by all contractors and maintain and track necessary documents.
  • Support operational projects such as office moves, expansions, and equipment installations.
  • Manage Floor plan updates, space planning and building automation system adjustments.
  • Lead any construction projects within the scope of Property Management.
  • Identify opportunities for process improvements and efficiency enhancements in daily operations.
  • Ensure job safety analysis and/or work permits are accurately written and adhered to by all contractors and maintain and track necessary documents.
  • Collaborate with other departments to address operational needs and support workplace safety and sustainability initiatives.
  • Work closely with procurement to ensure contractors are properly vetted and manage associated spreadsheets to track compliance.
