The Facilities & Office Supervisor is responsible for the day-to-day management and supervision of office services, facilities, hospitality, and conference center operations. This role oversees mail services, copy/print operations, office supplies, vendor relationships, space management, and internal meetings and events. The position also serves as a key resource for court runs, meeting planning, and reception backup. At times, this individual may be the primary point of contact for employees and visitors and must demonstrate strong communication, customer service, and teamwork skills.

  • Prior supervisory experience required.

Responsibilities

  • Supervise Office Services, Facilities, Hospitality, and Reception functions, ensuring high service standards and efficient workflows.
  • Manage all mail services including incoming and outgoing shipments (UPS, FedEx, USPS, DHL, couriers) and serve as the primary liaison with shipping vendors.
  • Oversee office supply inventory including mailing supplies, copy paper, beverages, and general office materials; maintain organized supply rooms.
  • Serve as the primary point of contact with outside vendors and service providers.
  • Oversee copy and print services, including coordination with third-party off-site printing vendors.
  • Coordinate Facilities operations including daily walkthroughs, maintenance requests, vendor oversight, and property management liaison.
  • Manage new hire office setups, departures, interoffice moves, furniture placement, and surplus furniture inventory.
  • Oversee conference room setup and breakdown, meeting support, and coordination with IT and Facilities for A/V needs.
  • Supervise hospitality services including catering, beverage services, and conference center readiness.
  • Manage shredding services, business card orders, access card coordination, and special service requests.
  • Provide reception back-up and serve as a visible point of contact for employees, clients, and visitors.
