About The Position

As a Facilities Coordinator at JLL, you'll be at the heart of creating exceptional workplace experiences for our clients by supporting the efficient operation and maintenance of commercial properties. This role combines operational coordination with administrative support, where you'll manage facility services, oversee documentation, and work with vendors to ensure smooth daily operations. Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn facility management software systems
  • Excellent written and verbal communication abilities with a customer service orientation
  • Detail-oriented with strong record-keeping skills and ability to maintain accurate documentation
  • Ability to multitask and prioritize effectively in a dynamic environment

Nice To Haves

  • Associate degree in Facilities Management, Business Administration, or related field
  • Experience with facility management or maintenance management software (CMMS)
  • Basic understanding of building systems and maintenance operations in commercial properties
  • Previous experience coordinating with vendors and service providers
  • Knowledge of administrative processes in commercial real estate or facilities management

Responsibilities

  • Monitor work order systems and respond to operational alerts, conducting regular facility walkthroughs to identify maintenance needs and ensure timely issue resolution
  • Maintain comprehensive facility records including maintenance logs, inspection reports, compliance documentation, and asset information across multiple systems
  • Coordinate with service providers for maintenance, repairs, and facility improvements by scheduling vendor appointments, inspections, and routine maintenance activities
  • Manage work orders from creation through completion, tracking vendor performance and maintaining service contract documentation
  • Create and manage purchase orders, obtain quotes, process invoices, and handle administrative tasks related to permits and regulatory compliance
  • Submit access requests and manage vendor personnel in security systems, and create parking passes when requested
  • Track and report on facility performance metrics and operational status to support data-driven decision making
