Requirements

  • High School graduate or equivalent.
  • Possess current or has the ability to obtain a Level 1 Fingerprint Clearance Card is required.
  • Must possess strong keyboarding skills and be able to accurately type a minimum of 40 words per minute.
  • Proficient in Microsoft Office software with intermediate spreadsheet skills (Excel).

Nice To Haves

  • General building maintenance and or construction experience a plus.

Responsibilities

  • Prioritize and hold paramount the health, safety, and welfare of the residents and staff at all times.
  • Responsible for the Unit Turn refurbishment process which includes, scheduling, sequencing, and coordination of all vendor work per facilities standards. Includes punch walks and project closing efforts.
  • Responsible for the issuing, tracking, and reconciliation of purchase orders for the Facilities Department.
  • Assist with move-in requirements from future residents and the Design Coordinator, while upholding facility standards.
  • Assist Director of Facilities with day-to-day tasks required for maintaining the operations of the department.
  • Assist the Facilities Supervisor, HVAC and Maintenance Technician as needed.
  • Assist with the CMMS system related to work order flow, work order creating / closing practices, and timely completion of preventative maintenance tasks.
  • Prepare resident billings from chargeable work orders.
  • Using accounting software to code facility invoices; record expenses on spend down reports; reconcile monthly budgets.
  • Assist with monthly fire drills and disaster drills. This task to include scheduling, coordinating, conducting and documenting all fire and disaster drills.
  • Keep facilities related Life Safety policies, procedures, and workstation manuals updated.
  • Responds to resident inquires and concerns, ensuring a timely and customer service resolve.
  • Maintains electronic files in a complete and orderly manner in the digital document platform.
  • Maintains copies of all required life safety records and supporting documentation in accordance with Sun Health record retention policies for life safety binders.
  • Creates and maintains vendor folders and files while checking accuracy on completed paperwork submitted by vendors.
  • Assist with other projects and special assignments within the Facilities Department, and other departments as needed.
  • Make and receive facilities related phone calls to support the day-to-day operations of the department.
  • Assist and partake in the required facilities training.
  • Addresses scheduled and unscheduled visitors related to the Facilities Department resolving the situation or directs them to appropriate area or person.
  • Assist with proofreading and generating routine department correspondences.
  • Make recommendations for improvement or enhancement to job processes.
  • Work independently while understanding the necessity to communicate and coordinate work efforts with other departmental employees.
  • Assist Director to ensure the enforcement of Sun Health standards, PSPs and expectations for the designated buildings and community.
  • Put team success ahead of individual interests; contribute to teamwork by demonstrating a "will-do" attitude and by working cooperatively with others, including other departments.
