About The Position

If you answered yes to all these questions, we think you would be an outstanding fit as a Facilities Coordinator in our New York Office working alongside our Real Estate and Facilities team. Primary Responsibilities: As a Facilities Coordinator, you would work closely with the Facilities and Real Estate team to support and execute daily functions to ensure all locations meet Cerity Partners standards. Overall, this role will assist senior Facilities management to focus on strategic planning, office projects, and vendor management. Ensures that space data and floor plans remain current, supporting data-driven decisions for space utilization and real estate planning. Faster response to requests and smoother move coordination to enhance colleague satisfaction and productivity.

Requirements

  • Genuine desire to help the team, providing superior service and taking complete ownership of even the smallest task
  • Strong attention to detail, exceptional problem-solving skills, and an ability to organize and prioritize work to meet deadlines proactively with little supervision
  • Proactive mindset, identifying and preventing potential problems before they arise
  • Clear communicator at all levels, providing regular progress updates to the internal team
  • 1–2 years of experience in administrative or facilities roles preferred
  • Ability to thrive in a fast-paced, ever-changing environment
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Responsibilities

  • Assist with scheduling and coordinating internal moves & office relocation timelines
  • Liaise with IT and vendors to ensure timely and accurate execution
  • Maintain move schedules, checklists, and communication updates
  • Oversee the updating and maintenance of floor plans and seating charts to reflect current occupancy and departmental assignments (working with Receptionist)
  • Maintain accuracy in facility databases
  • Assist with collecting utilization data and supporting future planning efforts
  • Serve as a first point of contact for all facility requests, ensuring quick response and resolution
  • Furniture requests, security inquiries (for example)
  • Support vendor coordination and purchase order processing for minor facility needs
