About The Position

The Facilities Coordinator is responsible for supporting the smooth, safe, and efficient operation of all workplace facilities. This role ensures that buildings, services, and equipment are maintained to a high standard, contractors are managed effectively, and colleagues have a reliable and well organised working environment.

Requirements

  • Experience in facilities, building management, or a similar support role.
  • Strong organisational and time management skills.
  • Excellent communication and customer service abilities.
  • Ability to manage multiple tasks and priorities under pressure.
  • Competent with Microsoft Office and facilities management systems.
  • Understanding of health & safety legislation (e.g., COSHH, RIDDOR, fire safety) is desirable.

Nice To Haves

  • IOSH/NEBOSH certification is an advantage but not essential.

Responsibilities

  • Act as the first point of contact for all facilities related queries and issues.
  • Coordinate planned and reactive maintenance across the estate.
  • Support the management of access control systems, security passes, and visitor management
  • Conduct regular building inspections to identify risks, defects, or improvements.
  • Monitor cleaning standards and liaise with cleaning contractors on requirements and performance.
  • Support compliance with health & safety legislation, including risk assessments and audits.
  • Maintain accurate records of statutory checks (e.g., fire alarms, emergency lighting, HVAC, water hygiene).
  • Assist with fire safety processes, including evacuation drills and managing fire wardens.
  • Ensure contractors follow all site safety procedures and maintain required documentation.
  • Schedule and coordinate contractors for maintenance, repairs, and service visits.
  • Raise purchase orders, review invoices, and track spend against budget.
  • Monitor supplier performance and assist with contract renewals or tender processes.
  • Support space planning, desk allocation, and office moves.
  • Maintain office equipment such as furniture.
  • Maintain the facilities helpdesk or ticketing system and ensure timely resolution of requests.
  • Keep accurate maintenance logs, service reports, and asset records.
  • Produce regular facilities reports for management.
