About The Position

The Facilities Assistant 1 at LifeLong Medical Care is responsible for carrying out a range of manual tasks under the guidance of the Facilities and Maintenance Supervisor. These tasks include maintenance and cleaning of buildings and grounds, minor equipment repairs, plumbing, carpentry, transportation of materials, setting up office furniture, and monitoring off-site storage. This is a full time, 40 hours/week, benefit eligible position. LifeLong Medical Care is a multi-site, Federally Qualified Health Center (FQHC) with a rich history of providing innovative healthcare and social services to a wonderfully diverse patient community. Our patient-centered health home is a dynamic place to work, practice, and grow. We have over 15 primary care health centers and deliver integrated services including psychosocial, referrals, chronic disease management, dental, health education, home visits, and much, much more.

Basic arithmetic.
High school diploma or GED.
Three years+ of experience providing general facility maintenance and minor repair.
Access to reliable transportation (preferably a work truck) and a current and valid California Driver’s license with insurance.
Ability to communicate clearly and concisely, both orally and in written.
Ability to lift 50 pounds.
Knowledge of methods, practices and tools and equipment typically used in the cleaning and maintenance of office buildings and grounds.
Ability to operate an office workstation, utilizing word processing, spreadsheet and other software.

Responsibilities

Independently perform maintenance, repair, and renovation tasks under general supervision. Tasks may include installing faucets, soldering pipes, clearing drains, installing electrical components, painting, and more.
Assist with challenging tasks and special projects as required.
Provide guidance to external maintenance vendors for new or routine repairs.
Conduct employee training sessions.
Troubleshoot and fix problems as needed.
Ensure compliance with safety standards and regulations.
Perform minor maintenance and preventive checks.
Keep building grounds and parking areas clean.
Deliver office supplies and furniture, and handle mail delivery.
Assemble, maintain, and repair equipment and furniture.
Manage storage retrievals and deliveries.
Operate and maintain maintenance equipment and tools.
Maintain logs, coordinate work requests, and provide office support.
Drive vehicles to transport supplies, equipment, and furniture.
Offer custodial services for various areas including medical exam rooms, public restrooms, and lobbies.
Carry out tasks assigned to Facilities Assistant I and Facilities Assistant II.
Flexibility to work occasional evenings or weekends.
Execute special projects as directed by Facilities and Maintenance Supervisor.
Fulfill any other duties as required.
Fleet Coordination: Coordinate the scheduling and usage of fleet vehicles.
Manage and maintain vehicle fleet inventory including registration renewals, licensing, and fleet related materials and spare parts.
Research and assist with purchasing of new vehicles
Monitor vehicle maintenance and cleaning schedules and coordinate repairs and servicing as needed.
Oversee fueling, inspections, and compliance with safety regulations.
Maintain accurate records of vehicle usage, mileage, and maintenance history.
Communicate with staff drivers; provide instructions, updates, and support.
Analyze fleet performance data to identify areas for improvement and efficiency.
Collaborate with other departments to optimize fleet operations and meet organizational goals.
Handle administrative tasks such as budgeting, reporting, and inventory management related to the fleet.
Building Security and Safety: In collaboration with Facilities department leadership, implement security protocols to safeguard the premises, staff/patients, and assets.
Monitor access control systems, CCTV cameras, and alarms to ensure the security of the building.
Onboard and orient Security Vendor staff to LifeLong Medical’s policies, procedures, and organization practices.
Conduct regular patrols to identify and address security risks or breaches and collaborate with Security Vendors on securing buildings.
Respond promptly to emergencies, including fire alarms, medical incidents, or security threats.
Coordinate with local law enforcement, fire departments, and emergency services as needed.
Conduct safety inspections to identify and address hazards, ensuring compliance with regulations.
In collaboration with Facilities Support Services Supervisor, develop and implement emergency response plans and evacuation procedures.
Maintain accurate records of security incidents, reports, and training activities.
Collaborate with building management and stakeholders to address security and safety concerns.
Facilities Ancillary Services Liaison: Serve as the primary point of contact for coordinating maintenance and security services for LifeLong’s ancillary services facilities.
Collaborate with Facilities department leadership on scheduling vendors to maintain cleaning, landscaping, and waste management.
Monitor service quality and performance to ensure compliance with established standards and contracts.
Address any issues or concerns related to ancillary services promptly and effectively.
Coordinate with facilities management to schedule maintenance and repairs that may impact ancillary services.
Develop and maintain relationships with ancillary service staff to facilitate efficient communication and problem resolution.
Conduct regular inspections to assess buildings for maintenance improvement.
