About The Position

The Facilities Administrator helps ensure that all A1’s satellite facilities are best-in-class and standardized across multiple markets. The Facilities Administrator oversees the full life cycle of the company’s satellite facilities, ensuring each location is efficiently opened, maintained, and transitioned according to operational and marketing standards. Regular travel (driving rental vehicles) is required to support new site setups, relocations, or closings.

Requirements

  • Proven experience in facility management, business administration, or related field.
  • Basic knowledge of HVAC and electrical systems.
  • One or more years of experienced in facilities.
  • Experience interpreting and reading lease agreements.
  • Experience using Monday Work Management, Legisway, or other lease management software.
  • Exceptional interpersonal, project management, and organizational skills.
  • Strong problem-solving and analytical skills.
  • Ability to communicate effectively across various organizational levels both internally and externally.
  • Proficient in using relevant information systems and MS Office products.
  • Self-motivated, proactive, and confident in mitigating potential issues.
  • Ability to work in a high-pressure, time-sensitive environment, and fast paced environment.
  • High school diploma required.
  • Valid driver’s license with a clean driving record.
  • Must be able to lift 15 lbs. at a time.
  • Prolonged periods of sitting at a desk and working on a computer.

Nice To Haves

  • Bachelor’s degree preferred.

Responsibilities

  • Maintain the company’s leases, ensuring all lease renewals, terminations, and notice deadlines are tracked.
  • Support new leases in collaboration with internal stakeholders and brokers.
  • Ensure we are in compliance with lease terms.
  • Coordinate and track all installations and deinstallations (utilities, trash, cleaning, telecommunications, etc.).
  • Coordinate the build-out of new satellite facilities.
  • Coordinate with contractors, vendors, and suppliers for timely project and task completion.
  • Manage vendor relationships and source necessary vendors.
  • Act as the first point of contact for all incoming inquiries and requests for facilities.
  • Resolve and complete work requests.
  • Track and schedule routine maintenance on facilities and making repairs as needed.
  • Coordinate and oversee the opening and closing of new facilities.
  • Perform other duties and responsibilities as assigned.
