About The Position

This position works closely with the Facilities, Operations, and Residential Services teams to coordinate repair, maintenance and improvement activities involving properties owned or leased by CNGCS, Inc. as well as residential licensed sites.

Requirements

  • High school diploma or equivalent.
  • Strong computer and clerical skills.
  • Good oral and written communication skills.

Responsibilities

  • Expedites and coordinates the administrative functions of the Director of Facilities by assisting with projects as assigned including, but not limited to, Procures, negotiates and maintains services contracts for all properties owned by CNGCS, Inc., and licensed residential sites, including, but not limited to, lawn maintenance, snow removal, exterminating; irrigation systems; HVAC and heating service contracts, plumbing and alarm systems.
  • Develops specifications for repair and improvement projects in cooperation with the Facilities Maintenance Supervisor and procures required bids and executes work contracts in accordance with Agency policies and procedures
  • Communicates directly with vendors to schedule repairs or improvement projects; coordinates response to emergency repair calls; coordinates painting, carpeting, cleaning and other routine maintenance issues
  • Oversees completion of work orders using work order system (FMX) and creates purchase orders as needed in consultation with accounting department
  • Helps Facilities Maintenance Supervisor prioritize and deploys maintenance staff as needed
  • Prepares check requests for repairs and maintenance
  • Monitors overall maintenance of sites in conjunction with Facilities Maintenance Supervisor and maintenance staff by organizing site inspections, utilizing quarterly site visit reports and follows up on needed repairs.
  • Maintains regular contact with Facilities Maintenance, Operations, Residential Services and administrative staff to coordinate efforts.
  • Maintains files related to vendors, ongoing maintenance contracts, current and proposed maintenance and/or improvement projects and work orders.
  • Performs data entry and reporting functions as needed.
  • Provides coverage for executive office staff and assists with Agency projects as required.
  • Identify and implement quality improvement trainings and activities as part of professional development goals
  • Complete QI Training during onboarding and participate in QI refresher training as needed.
