About The Position

Essential Functions • Processes agency mail while ensuring: accurate weighing; coding; sorting; affixing postage; properly addressing; and preparing certified/overnight/return receipt mail. • Pick-up and drop off mail at post office • Makes scheduled deliveries and pick-up from agency locations. • Processes deliveries and pickups from outside carriers i.e.. UPS, FED Ex. • Maintains mailroom inventory and orders supplies as needed. • Maintains mail logs and provides reports monthly to supervisor. • Maintains an accurate record of postage used by each department; monitors machine and requests funds to replenish postage when needed. • Ensures proper maintenance of mail equipment and software. • Manages copier service requests and supplies for agency copiers. • Maintains mailroom in an organized and clean manner. • Provides mailing and package assistance to agency staff. • Provides a variety of clerical duties and other assistance as needed. • Answers multi-line telephone lines and routes all calls to appropriate staff accurately and in a timely manner. • Assist with projects and activities as assigned by the Facilities Management team. • Tracks and orders break room supplies. • Confer with customers or supervising personnel in order to address questions, problems, and requests for copier and mail service or equipment. • Provides backup phone support for the Facilities Services Receptionist • Other duties may be assigned at the discretion of management. QualificationsPREFERRED/ REQUIRED QUALIFICATIONS: High school graduate or equivalent (some college preferred) Experience as a clerk in a front office environment. Experience in a mailroom environment. Must have a clean driving record. YEARS OF EXPERIENCE: A minimum of 3 years’ experience managing multiple phone line systems and mailroom service.
