Position Summary The Externship Coordinator Assistant plays a key role in supporting the planning, coordination, and execution of veterinary student externship programs. This position ensures a seamless and engaging experience for students while supporting long-term recruiting efforts and strengthening relationships with veterinary schools.

Requirements

  • Bachelor’s degree preferred
  • Experience in coordination, scheduling, or administrative support required
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Adaptability to work with individuals from diverse backgrounds
  • Strong problem-solving skills with a solutions-oriented mindset
  • Proficiency with applicant tracking systems, scheduling tools, and standard office software

  • Experience with high-volume programs or enrollment processes preferred

Responsibilities

  • Coordinate externship outreach, applications, and scheduling support
  • Assist in matching students with hospitals based on interests and learning goals
  • Screen applications to ensure candidates meet program requirements
  • Collect and organize student learning objectives and required documentation
  • Serve as a primary point of contact for externs, ensuring timely and professional communication
  • Address student questions and concerns to create a positive experience
  • Document student interactions in SmartRecruiters (applicant tracking system)
  • Partner with the Externship Coordinator to resolve issues and improve processes
  • Maintain accurate records of participation, hours, and required paperwork
  • Manage school-specific documentation requirements
  • Track engagement and outcomes to support program effectiveness and recruiting goals
  • Collaborate with recruiting, operations, and hospital leadership teams
  • Support coordination of recruiting events, career fairs, and campus visits
  • Assist with travel arrangements and logistics as needed
  • Contribute ideas to improve student programs and processes
