About The Position

As a Executive Support Associate you will provide high-level administrative support to members of the Westinghouse Leadership Team (WLT). You will be an important liaison between the senior leaders and all partners, ensuring efficient operations. You will coordinate and manage customer meetings, internal events in our headquarters office for two days per week, with the remaining work supported remotely. You will share this requirement with a second Executive Support Associate. You will report to the Senior Executive Associate & Manager, Executive Office and be located at our Cranberry Township, PA headquarters location. This is a hybrid role.

Requirements

  • Associate's degree in related field; bachelor's degree preferred.
  • 4+ years of experience in executive-level administrative support, with a preference for experience in a global organization.
  • Proficiency in Microsoft Office Suite and collaboration tools
  • Experience handling support requests from a variety of different channels with a Experience providing detailed troubleshooting and resolutions to users.
  • Experience building relationships with main partners for each assigned customer and ability to work collaboratively across all levels of the organization, including the diplomacy required to handle sensitive and stressful situations.
  • Demonstrated discretion in handling confidential information.

Responsibilities

  • Manage complex and confidential calendars, schedule meetings, and coordinate travel arrangements for the members of the WLT.
  • Prepare and edit correspondence, presentations, reports, and other documents.
  • Research and summarize information, including supporting data in preparation for meetings, reports.
  • Facilitate communication between the WLT members and internal departments, external partners, and board members. Collaborate with the Global Executive Administrative Support Team.
  • Coordinate logistics for meetings, events, and conferences, including agenda preparation, catering, visitor security registration and escort to respective conference room, and any follow-up actions.
  • Prepare meetings minutes and circulate internal correspondence.
  • Prepare conference rooms and ensure readiness for the meetings.
  • Help with budget tracking, invoice processing, and expense reporting.
  • Provide backup support to other executive support associates and staff.
  • Resolve questions in cooperation with other departments.
