About The Position

The Illinois Department of Corrections is looking for a professional Executive Secretary III to serve as a confidential administrative secretary to the Warden. The person selected for this position will be responsible for conducting special projects by gathering data, acts independently within established policies and procedures, keyboards correspondence, memos, and reports. Additional job duties include Opening, reading, stamping and sorting incoming mail to the Warden. Keyboarding correspondence, memoranda's, reports and other documents and mainting a calendar . Requirements

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience or completion of high school and five (5) years of secretarial experience.
  • Requires the ability to keyboard accurately at 55 wpm.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
  • Required to utilize technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.

Nice To Haves

  • Prefers at least three (3) years of professional experience working with and maintaining confidential information.
  • Prefers at least three (3) years of professional experience working within the functions and interrelationships of State agencies, labor unions, or equivalent entities.
  • Prefers at least three (3) years of work experience compiling documentation to assemble and submit weekly, monthly, quarterly and/or yearly reports.
  • Prefers at least two (2) years of professional experience taking meeting notes, organizing meeting notes, and creating action items.
  • Prefers at least two (2) years of professional experience communicating and interacting with management, government officials, advocacy organizations, and the public.
  • Prefers at least one (1) year experience scheduling appointments and meetings for staff in a public or private organization.
  • Prefers at least two (2) years professional experience drafting reports for internal and external review.
  • Prefers at least two (2) years of professional experience tracking internal and external correspondence.
  • Prefers at least one (1) year of experience in operating commonly used manual and automated office equipment and performing routine maintenance.
  • Prefers one (1) year experience working with spreadsheets and using them towards reporting purposes.

Responsibilities

  • As an administrative secretary, conducts special projects and studies of a confidential nature by gathering data, coordinating, monitoring, and completing assigned projects.
  • As secretary, keyboards correspondence, memoranda’s, reports, and other documents.
  • Opens, reads, stamps, and sorts incoming mail to the Warden.
  • Keyboards correspondence, memoranda’s, reports, and other documents concerning institution programs, policies, procedures, and administrative affairs.
  • Maintains appointment calendar.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
