About The Position

The Illinois Department of Children and Family Services is seeking an organized, professional, and results oriented individual to serve as Executive Secretary. Under general supervision, serves as administrative secretary to the Associate Deputy Director; conducts special projects and studies; gathers data, coordinates, monitors, and completes assigned projects; analyzes and interprets data and prepares reports; makes independent decisions requiring knowledge of rules and interpretations of the Associate Deputy Director’s policies concerning various programs; works directly with the Associate Deputy Director and staff in establishing and maintaining weekly/montly appointment schedules; receives and screens visitors; serves as timekeeper; functions as part of the management team in planning and arranging details for training, meetings and special initiatives; researches and compiles needed information for special studies and reports needed by the Associate Deputy Director and management staff; maintains and sets up a variety of informational, correspondence, and tickler files.  This position provides a great opportunity for a motivated individual who is interested in playing a role in ensuring that DCFS accounting processes are carried out in an efficient, effective manner.  DCFS offers a competitive compensation plan, excellent benefits, and a pension program.  The ideal candidate for this position will have excellent organizational skills and strong accounting skills.  We invite you to join our innovative team to help make a positive difference in the lives of the children and families of Illinois.

Requirements

  • Requires knowledge, skill and mental development equivalent to completion of two years of secretarial or business college and two years of secretarial experience; or completion of high school and four years of secretarial experience
  • Requires the ability to keyboard accurately at 55 wpm.
  • Requires ability to pass a background check.

Responsibilities

  • Serves as administrative secretary to the Associate Deputy Director
  • Works directly with the Associate Deputy Director and staff in establishing and maintaining weekly/monthly appointment schedules
  • Functions as part of the management team in planning and arranging details for training, meetings and special initiatives; attends staff and labor/management meeting
  • Researches and compiles needed information for special studies and reports needed by the Associate Deputy Director and management staff
  • Maintains and sets up a variety of informational, correspondence, and tickler files (confidential and non-confidential) for the Associate Deputy Director; maintains resource files, field audit files, personnel files, and timekeeping records
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
