About The Position

This role sits at the center of the CEO and Chief of Staff's operating rhythm - ensuring the right information flows at the right time, meetings are well-prepared and purposeful, and leadership stays several steps ahead. The Executive Operations Manager & Administrative Assistant will be responsible for managing executive workflows, calendars, communications, and key leadership forums that drive organizational alignment and velocity.

Requirements

  • Exceptional written and verbal communication skills, with a knack for executive-level storytelling and clarity.
  • High judgment and discretion with sensitive information.
  • Proven strength in prioritization and time management.
  • Ability to anticipate needs and solve problems before they surface.
  • Strong presentation-building skills (PowerPoint or Google Slides) and comfort working with strategic content (data, narrative, and visuals).
  • Ability to work fluidly across functions, time zones, and stakeholders.
  • Comfortable managing executive-level expenses and financial reconciliations with accuracy and confidentiality.

Responsibilities

  • Manage and maintain the operating cadence for the Chief of Staff, including leadership forums, external partner engagements, board prep, and key internal communications.
  • Own the planning, preparation, and follow-through of executive meetings, ensuring agendas, pre-reads, and outcomes are clear and well-documented.
  • Anticipate upcoming priorities, proactively coordinating stakeholders and materials ahead of deadlines.
  • Oversee a dynamic and fast-moving calendar across multiple time zones, ensuring the Chief of Staff is fully set up for every engagement.
  • Coordinate complex travel schedules and logistics with precision and minimal friction.
  • Manage and submit expenses on behalf of the Chief of Staff, ensuring accuracy, timeliness, and proper tracking.
  • Support the drafting, editing, and distribution of executive communications, including leadership updates and internal news.
  • Build and manage presentation materials and briefing decks for board, investors, and partner meetings, ensuring quality and consistency.
  • Maintain a library of key facts, narratives, and data points to prepare executives for strategic conversations.
  • Drive cross-functional follow-up on key decisions and initiatives, ensuring actions are completed and timelines are met.
  • Support special projects for the Chief of Staff and CEO, including leadership summits, major events, and strategic initiatives.
  • Partner with executive assistants, department leads, and strategy teams to ensure alignment across the organization.
  • Lead a team of executive assistants and help drive enhanced performance from the administrative assistants across the business.
  • Act as an extension of the Chief of Staff - trusted to represent priorities, filter information, and drive clarity.
  • Operate with discretion, sound judgment, and exceptional attention to detail.
  • Build strong relationships across the organization to ensure smooth communication and execution.
