About The Position

Executive Assistant – 5 Days in Office required  This is not a traditional Executive Assistant role. We are hiring a high-performing, detail-focused Executive Assistant to partner directly with the CEO of a fast-moving real estate company in Brentwood. This role sits at the center of both business operations and personal logistics. You will operate as a true right hand, ensuring the CEO’s time, priorities, and day-to-day operations run with precision. What You’ll Own Executive Operations  📅 Own and optimize a complex, ever-changing calendar across multiple priorities  📥 Act as the central hub for communication, triaging emails, calls, and requests  🧭 Coordinate meetings, calls, and events with precision  📝 Prepare polished presentations, correspondence, and reports  ✅ Track priorities and follow-through on key action items  🗂 Maintain organized digital and physical systems  🤝 Serve as liaison between CEO, internal teams, and external partners  🔒 Handle all matters with discretion and confidentiality Travel & Logistics Management  ✈️ Design and manage seamless travel for the CEO and family  🧳 Build detailed itineraries including flights, hotels, and transportation  🔄 Adapt quickly to changes and last-minute updates  👨‍👩‍👧‍👦 Coordinate travel for family and home office team as needed Personal & Lifestyle Support  🏡 Provide high-level personal support to the CEO and spouse  🛍 Manage errands, vendors, and household logistics  📆 Assist with personal and family scheduling  📞 Support occasional after-hours needs tied to travel or urgent matters Office & Strategic Support  🏢 Help keep office operations running smoothly  🤝 Support select HR and confidential projects  🎯 Step in where needed to keep priorities moving forward What Success Looks Like  ✔️ You anticipate needs before they are expressed  ✔️ You bring structure and clarity to a fast-moving environment  ✔️ The CEO’s time is optimized and protected  ✔️ Travel and logistics run without disruption  ✔️ You operate with ownership and minimal oversight  ✔️ You are viewed as a trusted partner The Bottom Line  This role is for someone who takes pride in precision, thrives behind the scenes, and wants to be a trusted partner to a high-performing CEO. Requirements

  • 5+ years supporting a senior executive or principal
  • Highly organized with strong attention to detail
  • Calm under pressure and solution-oriented
  • Discreet with experience handling sensitive information
  • Strong communicator with polished written and verbal skills

Nice To Haves

  • Experience managing complex international travel
  • Experience supporting both business and personal logistics
  • Notary license or willingness to obtain
  • Experience with expense management such as American Express reconciliation
  • Background in fast-paced, entrepreneurial environments
