Provides enterprise-level operating support to the Executive Leadership Team by coordinating core executive forums, strengthening governance and operating rhythm, and ensuring decisions and actions translate into timely execution. Performs high-touch meeting orchestration, materials readiness, and action tracking across cross-functional priorities—creating consistency, momentum, and visibility for the organization’s strategic agenda.

Requirements

  • High School Diploma required. Bachelor's degree is preferred.
  • Executive support scope: 10+ years supporting VP/SVP/C-suite leaders (direct support or enterprise forums) with demonstrated ability to operate with executive presence.
  • Operating rhythm ownership: Experience owning an end-to-end operating cadence (e.g., monthly/quarterly reviews, steering committees) including pre-reads, run-of-show, decision logging, and follow-through.
  • Stakeholder management: Demonstrated ability to influence and drive closure across 10+ cross-functional stakeholders without direct authority (examples: chasing actions, resolving conflicts, aligning pre-reads).
  • Synthesis + writing: Ability to produce executive-ready outputs (crisp notes, action summaries, agendas, comms) with minimal edits; strong business writing skills.
  • Problem-solving in ambiguity: Proven track record of creating structure from ambiguity (e.g., building templates/processes, improving workflows) and proactively anticipating needs.
  • Project coordination: Experience managing lightweight program/project plans (trackers, dependencies, risks/issues) and escalating appropriately.
  • Tool excellence: Advanced proficiency in Microsoft 365 collaboration (SharePoint permissions/structure, Teams channels, version control) and comfort learning new tools quickly.
  • Service + resilience: Demonstrated ability to operate in a high-volume, high-urgency environment during peak cycles (Board/AOP) and flex hours as needed for critical meetings.

Responsibilities

  • Coordinates enterprise forums (ELT + cross-functional): builds agendas/run-of-show, confirms attendees, manages pre-read process, and ensures meeting readiness.
  • Captures decisions and action items in real time during enterprise meetings; assigns owners/dates, publishes follow-ups, and maintains decision/action logs.
  • Supports cross-functional 2026 priority workstreams through meeting coordination, materials preparation, stakeholder alignment, and action-item tracking to keep execution on pace.
  • Reinforces governance and operating rhythm: maintains cadence map (MOR/AOP/ELT/Sponsor cycles), scheduling windows/standards, and helps clarify roles/decision rights through consistent meeting processes.
  • Coordinates scheduling and execution of core enterprise forums (e.g., MOR, AOP) in partnership with Sponsor EA team; resolves complex multi-party scheduling and sequencing dependencies.
  • Supports Board meeting preparation and execution with CEO EA: logistics coordination, materials compilation, version control, and follow-up tracking on Board actions/requests.
  • Cross-trains to support multiple executives during PTO coverage/peak periods to ensure continuity (meeting coordination, forum coverage, follow-ups).
  • Attends periodic training sessions.
  • Other duties as assigned
