About The Position

The Executive Meetings Manager is responsible for driving group and catering revenue through various lead channels, to ensure all group sales contracts are planned and executed at the highest level of guest satisfaction and ensure that all hotel financial obligations are met. They work directly with guests to manage social room blocks and all other social events and markets assigned.

Requirements

  • Previous experience in a similar role in a luxury or upper upscale hospitality operation.
  • Proficient in managing and using sales automation and PMS systems.
  • Strong computer skills, including Microsoft Office.
  • Strong communication skills, both verbal and written, including service recovery and resolution.
  • Ability to stay calm under pressure and manage multiple concurrent demands while prioritizing responsibilities.
  • Aptitude to perform numerical analysis of data and formulate conclusions and solutions.
  • Approachable, authentic, and engaging demeanor, setting an example for all Associates.
  • Results oriented and highly motivated self-starter.
  • Flexibility to work a varied schedule, which may include weekends and holidays.
  • Requires writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability, and visual acuity.

Responsibilities

  • Responsible for business development- actively sell all segments as directed by the Director of Sales & Marketing, ensuring monthly, quarterly, and annual goals are met.
  • Prepare and send requested collateral materials to designated clients or guests. Examples include catering menus, brochures, space diagrams, formal proposals, and presentations.
  • Proactively generate new business, provide account management for new and existing accounts, and work with other sales team associates to meet and exceed monthly revenue goals.
  • Review sales contracts as well as other key details such as room blocks, cut-off date, special concessions, cancellation, and attrition clauses and validate with clients.
  • Be fully knowledgeable of competitive markets outside the area.
  • Coordinate all logistics of meetings as assigned by the Director of Sales & Marketing to include but not limited to: food and beverage requirements, audio-visual requirements, room type allocation, rooming list, amenities, function room set up, group transportation, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, expected food and beverage outlet usage, etc.
  • Monitor and enforce specific deadline dates related to group rooms cut-off, BEO requirements and function guarantees.
  • Create and distribute group resumes, communicate any changes to appropriate departments and managers in a timely manner.
  • Be fully knowledgeable of the capabilities and limitations of the hotel and departments that may impact sales strategies.
  • Upsell to improve revenue generation on property.
  • Be readily available during functions for consultation with the client.
  • Prepare and execute sales action plans, negotiate rates/contracts, and qualify customers.
  • Initiate billing procedures and ensure that deposits or credit applications are received with adequate information and within the acceptable time frame.
  • Establish good business and social relationships with the industry/market and participate in activities related to public relations to increase sales leads for the hotel.
  • Work with the banquet team to ensure a successful event and provide support when needed.
  • Maintain product knowledge at all times, including all relevant pricing structures and promotional offers.
  • Coordinate and follow up with other hotel departments to ensure delivery of superior guest services.
  • Prepare weekly, monthly, quarterly, and annual reports as required by hotel guidelines.
  • As directed, compile and input account, customer, and booking information to the Sales Information Management System.
  • As directed, participate in trade shows, conventions, and promotional events within the hotel, the industry, and customer organizations.
  • Engage in site visits with clients according to their schedule.
  • Be highly visible and interface with guests on a regular basis to obtain feedback on quality of product, services levels, and overall satisfaction.
  • Participate in departmental meetings and continually communicate a clear and consistent message regarding the departmental goals to produce the desired results.
  • Maintain a professional and personable appearance at all times, according to hotel standards.
  • Successfully achieve the hotel’s core values of ownership, innovation, craft, respect, and community.
  • Primary duty will be performing work that is directly related to the hotel’s business operations and customers. This includes exercising discretion and independent judgment with respect to matters of significance.
