Executive Household Manager - COO (Live-In)

Sage HausNewport Beach, CA

About The Position

We are an entrepreneurial, fast-paced family of five with three young children (ages 5, 2½, and 7 months) and a gentle 30 lb Jindo dog. Both parents lead multiple businesses and thrive on creativity, connection, and high energy. Our home is joyful, loving, and full of love— yet the pace of our days calls for an exceptional partner who can bring grounding, create a predictable rhythm, and structure to match that energy for our family. This is a hands-on household leadership role for someone who is ready to truly run the day-to-day operations of the home. You’ll oversee a team that includes a full-time nanny (who stays overnight 1–2 nights per week), a part-time nanny, and housekeepers who come 4–5 days per week — and you will be the point person responsible for directing, coordinating, and keeping all moving parts aligned. This role requires someone confident, assertive, and highly organized to take charge and create consistency. You’ll take the lead in establishing routines, setting expectations, ensuring follow-through, and maintaining clear communication across the team. Deep cleaning, organization, and the upkeep of shared spaces will require your proactive oversight to make sure every aspect of the household is consistently managed. This role is best suited for someone who thrives in a leadership position, isn’t afraid to step in or speak up, and feels energized by taking full ownership to create a more seamless, coordinated flow throughout the home. We’re not just hiring help; we’re looking for a true extension of our family - someone who will grow with us for years to come and take genuine pride in the role they play in our home’s harmony. The ideal candidate understands the art of family rhythm and early childhood development. Preference for someone with a Waldorf-inspired background, who brings warmth, creativity, and intentionality to each day.

  • Pass a comprehensive background check.
  • Reliable transportation and valid driver’s license.
  • Open to live-in arrangement (private accommodations provided).

Responsibilities

  • Act as the operational hub of the household — overseeing calendars, appointments, and daily logistics to keep family, staff, and vendors aligned.
  • Manage complex scheduling around parents’ business operations, anticipating conflicts and building proactive solutions.
  • Partner with parents to forecast upcoming household, school, and travel needs; flag priorities and ensure smooth follow-through.

  • Plan, coordinate, and execute family events, holidays, birthdays, and travel experiences with attention to detail and ease.
  • Serve as primary liaison between the household, business teams, and service providers to ensure seamless communication and decision-making.
  • Design and uphold daily and weekly family rhythms that bring predictability, flow, and peace to the home.

  • Provide hands-on support and backup childcare when needed, modeling calm presence and intuitive responsiveness.
  • Maintain continuity in the children’s rhythm during travel, transitions, or schedule changes.
  • Direct and build all aspects of household organization and functionality — ensuring systems are efficient, logical, and consistently maintained, and intentionally creating a predictable rhythm the entire family and household staff can rely on.
  • Oversee vendor relationships, maintenance schedules, and household service calendars; document and track all active projects.
  • Conduct seasonal rotations (clothing, décor, bedding) and prepare the home for guests, holidays, and family travel.
  • Collaborate with housekeeping staff to uphold the family’s cleanliness and presentation standards, ensuring the home is “reset-ready” daily.
  • Serve as the family’s eyes and ears on property conditions, proactively identifying and resolving issues before they escalate.
  • Manage inventory across pantry, household supplies, and toiletries, maintaining detailed digital lists and reorder schedules.
  • Oversee online and in-person purchasing (Amazon, Costco, Target, specialty vendors), staying within budget while maintaining quality.
  • Run or delegate errands including groceries, returns, gifts, and donations.
  • Streamline deliveries, mail, and shipping to minimize clutter and maximize efficiency.
  • Partner with parents on weekly meal planning aligned with the family’s dairy-free, gluten-free, grain-free preferences.
  • Source high-quality ingredients and manage grocery shopping, ensuring the kitchen stays fully stocked.
  • Prep and organize simple, nourishing meals and snacks; support nannies in executing children’s meals.
  • Maintain kitchen systems — labeling, food rotation, and cleanliness — to ensure a healthy and organized environment.
  • Oversee household laundry workflows; wash, fold, and organize as needed to supplement existing support.
  • Rotate bedding and linens weekly; maintain par levels and restock supplies.
  • Keep laundry zones streamlined, efficient, and fully stocked.
  • Oversee scheduling for vehicle maintenance, detailing, and inspections.
  • Manage fueling, charging, and readiness for daily family and childcare use.
  • Track registration, insurance renewals, and service documentation.
  • Supervise and coordinate all household vendors — cleaners, contractors, landscapers, pool, and spa services.
  • Negotiate quotes, track maintenance, and document completed work.
  • Oversee outdoor spaces, gardens, and emerging farm elements (including chicken care and egg collection).
  • Ensure all systems — HVAC, security, irrigation, and utilities — are maintained and functioning at optimal performance.
  • Provide daily care for the family dog, including feeding, walks, and veterinary coordination.
  • Manage and maintain care for chickens or small farm animals, fostering a safe and educational environment for the children.
  • Lead or delegate periodic deep-cleaning projects (appliances, storage, seasonal refreshes).
  • Oversee organization of garage, mudroom, and long-term storage spaces.
  • Maintain household manuals, inventories, and standard-operating procedures for continuity and clarity.

Benefits

  • Accommodations include a private room, meals, and full access to household amenities.
  • Quarterly bonus opportunities
