About The Position

The Executive Coordinator is the CEO’s right hand, the person who keeps priorities on track, communication flowing, and the leadership team operating at their best. You’ll work closely with the Board of Directors and partner with departments like Development, Programming, Finance, and Operations to keep projects moving forward. From managing high-stakes meetings to overseeing the physical office environment, you’ll handle both the big-picture coordination and the small details that make it all run smoothly. This is a role for someone who thrives in a fast-moving, mission-driven environment and loves making order out of complexity. This role is critical to keeping leadership organized, prepared, and moving efficiently. The ideal candidate is a strong traditional executive assistant—someone who anticipates needs, manages details seamlessly, and brings structure to a fast moving environment. This is an opportunity to work closely with a founder led leadership team at a well established nonprofit with a meaningful mission. The organization values professionalism, reliability, and trust, and is looking for a longterm partner who will bring stability and support to the executive function.

Requirements

  • 3–5+ years of experience as an Executive Assistant or in a comparable senior administrative role
  • Strong calendaring and scheduling experience supporting senior executives
  • Experience supporting board meetings and interacting professionally with board members
  • Excellent organizational skills and attention to detail
  • Ability to anticipate needs, manage priorities, and work independently
  • Comfortable “managing up” and providing reminders, nudges, and structure to leadership
  • Proficiency with Google Workspace (Calendar, Gmail, Docs); experience with PowerPoint for decks

Nice To Haves

  • Familiarity with tools such as Canva or AI tools is acceptable, but core assistant skills are the priority

Responsibilities

  • Manage complex calendaring and scheduling for the CEO, with occasional support to the Founder’s partner and the Head of Development.
  • Proactively prepare the executive for meetings by ensuring all materials, agendas, and context are ready in advance
  • Coordinate and prepare for board meetings, including: Scheduling board meetings Acting as liaison between leadership, board members, and internal departments Collecting financials, program updates, and materials from across departments Creating board decks and agendas and managing timelines leading up to meetings
  • Track followups and action items for leadership and development initiatives
  • Provide general executive and administrative support, including organization of office materials and maintaining a professional office environment
  • Support occasional evening or weekend events, with hours flexed within the standard workweek
  • Assist with light project management by reverse engineering timelines and ensuring deadlines are met
