About The Position

The Holganix team is searching for a Chief of Staff to directly enable our CEO & Founder Barrett, to operate at his highest level. This is a high-trust, high-impact role for someone who has already built their career inside complex organizations and knows how to create clarity, momentum, and accountability around senior executives. You will work closely with our Chief of Staff, Kaity. Day to day, however, much of your work will be in direct service of Barrett: managing priorities, functioning as a gatekeeper and execution partner, ensuring that important work actually moves forward. Requirements

  • Exceptional prioritization and decision-making ability
  • Strong executive presence and judgment
  • Ability to operate at both high-level strategy and detailed execution
  • Excellent written and verbal communication skills
  • High emotional intelligence and stakeholder awareness
  • Ability to manage competing demands with discipline and clarity
  • 5–12+ years of experience in executive support, operations, consulting, senior project management, or Chief of Staff roles
  • Proven experience working closely with senior executives or founders
  • Demonstrated ability to manage complex priorities and drive execution
  • Experience in high-growth or fast-paced environments preferred
  • Experience in software i.e. MS, Project Management (we use Monday.com), CRM (we use HubSpot)
  • Highly organized, detail-oriented, and execution-driven
  • Proactive, anticipatory, and solutions-focused
  • Discreet, trustworthy, and dependable
  • Comfortable operating in ambiguity and fast-moving environments
  • Strong sense of ownership and accountability
  • Impeccable discretion and judgment

Nice To Haves

  • Passion for or background in sustainability, farming, gardening, or food is a plus but not required
  • Preference for candidates in Philadelphia for occasional in-person work

Responsibilities

  • CEO Prioritization and Time Management
  • Own and aggressively manage the CEO’s calendar, inbox, and daily flow
  • Filter, prioritize, and respond to inbound communications on behalf of the CEO when appropriate
  • Ensure Barrett is consistently focused on highest-impact work
  • Act as a gatekeeper , balancing accessibility with protection of time and attention
  • Prepare the CEO for all meetings with clear context, objectives, and desired outcomes
  • Executive Operations and Communications
  • Manage and organize email communications, follow-ups, and key correspondence
  • Draft, refine, and send communications on behalf of the CEO
  • Ensure all commitments, decisions, and action items are captured and executed
  • Maintain a clear system for tracking priorities, stakeholders, and ongoing workstreams
  • CEO-Centered Project Management
  • Manage and occasionally lead key projects directly tied to the CEO’s priorities
  • Translate Barrett’s ideas into structured plans, timelines, and deliverables
  • Drive execution by coordinating across teams and holding stakeholders accountable
  • Identify bottlenecks and ensure consistent forward progress
  • Anticipation and Problem Solving
  • Proactively identify risks, gaps, and opportunities before they surface
  • Anticipate the CEO’s needs across both business and operational contexts
  • Bring structure and solutions to ambiguous or fast-moving situations
  • Operate with a strong bias toward action and ownership
  • Executive Leverage and Culture
  • Reinforce a culture of accountability, responsiveness, and high performance
  • Model professionalism, discretion, and sound judgment
  • Increase the overall effectiveness of the leadership team by improving CEO access and clarity
