Requirements

  • Bachelor's degree or equivalent work experience, with 7+ years of experience in a direct support role.
  • Close attention to detail, driven, and able to begin projects with limited information.
  • Experience completing projects with limited resources and creative ways to complete tasks.
  • Team focus and willingness to assist colleagues when needed.
  • Proficiency using communication tools to manage projects against deadlines.
  • Organized and proficient in calendaring, communication, and document management tools (G-Suite, Slack, or similar).
  • Professional, calm, and collected in high-pressure situations while meeting deadlines.
  • Experienced and discreet when handling confidential information.
  • Passionate about technology and able to create and share new ideas.
  • Responsive to requests received and follow through on tasks.
  • Able to establish relationships throughout the organization and serve as a reliable representative for the team.
  • Flexible, proactive, resourceful and composed.

Responsibilities

  • Provide support to two executives on our People Places & Systems team.
  • Collaborate closely with all stakeholders to manage company-wide leadership team cadences.
  • Implement process improvements and manage their ongoing effectiveness
  • Manage complex calendars, work with executives to lead projects, and manage team programs.
  • Plan events and work with executives to coordinate team off-sites, virtual events, and team building activities.
  • Be a gatekeeper for executives and advocate for the needs of the group.
  • Maintain department's communications, meeting notes, project plans, goals, and group tasks.
  • Coordinate international and domestic travel arrangements.
  • Submit accurate expense reports and manage the teams annual budget.
  • Draft and edit presentations and other meeting deliverables.
  • Engage in frequent written and verbal correspondence with high-end external-facing clients and candidates.
  • Say something about the recruiting process
  • Provide support with building reports for recruiting metrics and managing the team’s headcount.
  • Collaborate with Legal and Recruiting Ops on generating offer letters and NDA’s for confidential hires.
  • Be a contact for corporate visits of external clients.
  • Collaborate with peers, colleagues, and across teams to support company-wide projects and goals.
  • Work a full-time, hybrid schedule at our San Mateo office.
