About The Position

This role offers the opportunity to provide high-impact administrative and project support to senior executives, enabling strategic and operational efficiency across the organization. You will manage complex calendars, coordinate meetings and travel, and facilitate communication between executives and internal or external stakeholders. The role requires proactive prioritization, problem-solving, and discretion in handling sensitive information. You will support cross-functional projects, prepare briefing materials, and ensure leaders are equipped for decision-making and high-stakes engagements. This is a remote role within a collaborative, mission-driven environment focused on transforming pediatric healthcare and supporting children with complex medical needs. Strong organizational, communication, and technical skills are critical to succeed in this position.

Requirements

  • 2–5+ years of administrative support experience; prior experience supporting senior executives preferred.
  • Proven ability to manage competing priorities and complex schedules while maintaining attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • Strong communication, organizational, and problem-solving skills.
  • Ability to engage with sensitive information while maintaining confidentiality and discretion.
  • Ability to work in CST or EST time zones; remote work capability required.

Responsibilities

  • Coordinate and manage executive schedules, meetings, events, and travel, prioritizing top organizational goals.
  • Draft, proofread, and manage correspondence on behalf of executives; facilitate communication with internal and external stakeholders.
  • Plan and organize meetings, including agenda preparation, materials, logistics, and follow-up actions.
  • Track project milestones and deliverables, providing status updates and reminders; assist with cross-functional initiatives.
  • Prepare executives for presentations, meetings, and public engagements by conducting research and providing briefing materials.
  • Handle confidential information with discretion and maintain secure document management.
  • Perform day-to-day administrative tasks to enhance operational efficiency, including office systems support.
