About The Position

The Executive Assistant performs a variety of administrative tasks and supports our company's senior-level management. One contributes to the efficiency of the business by providing personalized and timely support to executive members. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Acts as the point of contact among executives, employees, clients and other external partners.

Requirements

  • High school diploma or GED equivalent is required
  • Minimum of 5 – 8 years' experience as an Executive Assistant or or equivalent combination of education, training, and experience
  • Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dign.ies
  • Requires in-depth knowledge of company operations, policies, and procedures.
  • Maintains a high level of discretion and confidentiality
  • Effective communication skills (written and verbal) as well as interpersonal skills.
  • Demonstrates high level of customer service and professionalism
  • Experienced and proficient with MS Office (Word, Excel, PowerPoint & Outlook) and demonstrates strong computer skills
  • Occasionally may be required to travel within the Continental U.S.
  • Must have a valid driver's license and clean DMV record

Responsibilities

  • Manages confidential information flow in a timely and accurate manner
  • Prepares presentation materials for board of director meetings and other internal/external meetings
  • Manages executives' calendars and sets up meetings
  • Makes travel and accommodation arrangements
  • Tracks daily expenses and prepares weekly, monthly or quarterly reports
  • Oversees the performance of other administrative/clerical staff
  • Acts as an office manager by keeping up with office supply inventory and IT needs
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screens and directs phone calls and distributes correspondence
  • Other duties as assigned
