About The Position

We are seeing an accomplished and proactive Executive Assistant to primarily support our Chief Executive Officer (CEO) and work in close partnership with our Chief Operations and Human Resources Officer (COO/CHRO). In this pivotal role, you will manage the CEO’s busy calendar, coordinate meetings, track action items, and provide operational support to drive our firm’s strategic objectives. You will often receive direction and oversight from the COO, who leads project assignment and operational initiatives. This is a highly visible position for an organized, detail-oriented professional who thrives at the center of executive operations, values making an impact across the organization.

Requirements

  • 3+ years of experience as an Executive Assistant or in a senior administrative support role, ideally within a professional services, accounting, or business advisory environment.
  • Outstanding organizational, time management, and prioritization skills.
  • Excellent written and verbal communication abilities.
  • High level of integrity and discretion in handling sensitive and confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with cloud-based collaboration tools required.
  • Strong attention to detail, resourcefulness, and proactive problem-solving abilities.

  • Bachelor’s degree preferred, but not required.

Responsibilities

  • Proactively manage the CEO’s calendar, coordinate meetings, appointments, and critical deadlines.
  • Anticipate scheduling needs and resolve conflicts to maximize executive productivity.
  • Organize and coordinate meetings for the CEO and firm leadership, including preparing agendas and logistics.
  • Attend meetings, take clear and concise notes, and track action items—ensuring timely follow-up and completion.
  • Work closely with the COO to support and execute a range of operational projects across budgeting, accounting, HR, and overall firm administration.
  • Conduct research, prepare reports, and gather necessary data to support informed decision-making.
  • Draft, proofread, and manage internal and external communications for the CEO.
  • Screen, prioritize, and respond to emails and calls, ensuring efficient information flow.
  • Plan and book complex travel arrangements for the CEO.
  • Process and reconcile expense reports in a timely and accurate manner.
  • Maintain confidential files, records, and operational documents for the CEO and leadership team.
  • Assist in the preparation, review, and organization of contracts, agreements, and policies.
  • Serve as a trusted point of contact for staff, clients, and external partners on behalf of the CEO and COO.
  • Build strong professional relations across all levels of the organization.
  • Provide day-to-day administrative support to the CEO and assist other leaders as needed.
  • Support office operations and step in to assist with other administrative tasks during peak periods.
