About The Position

We’re looking for an Executive Assistant to join our team in Orem, UT (84058), working in-office Monday through Friday, 9–5. Requirements

  • 3+ years of experience in an Executive Assistant, Operations Coordinator, or similar multifaceted administrative role
  • Proven experience managing complex travel logistics and/or coordinating events from start to finish
  • Exceptional organizational skills with the ability to manage multiple competing priorities without dropping the ball
  • Strong written and verbal communication skills
  • High level of professionalism and discretion; able to handle sensitive information appropriately
  • Self-starter mindset with the ability to identify needs and take action without constant direction

Nice To Haves

  • Experience in HR is a bonus, but not required

Responsibilities

  • Own end-to-end travel logistics for company team members attending trade shows, conferences, and training
  • Plan and execute company events and team outings, including venue, catering, vendors, and communications
  • Track travel and event spend and manage vendor relationships to resolve issues in real time
  • Maintain shared company calendars, ensuring accuracy and visibility across key organizational events, deadlines, and milestones
  • Coordinate employee training programs and support recruiting logistics including interview scheduling and candidate communications
  • Serve as a point of contact for routine HR inquiries, escalating to the appropriate team member as needed
  • Maintain records and files in accordance with confidentiality standards
  • Support new hire onboarding and orientation, helping team members feel informed, welcomed, and set up for success
  • Manage company swag ordering end-to-end
  • Manage calendars and scheduling for one senior leader
  • Draft communications, prepare materials, and handle sensitive information with discretion
